Job Summary:
The Division Operations Coordinator for the Division of Endocrinology, Metabolism, and Diabetes is responsible for managing a wide range of operational, communication, and fiscal functions to ensure smooth day-to-day operation. This role involves providing administrative support to division leadership and faculty, coordinating meetings, managing travel logistics, and overseeing office and facility needs. The Division Operations Coordinator also plays a key role in communication, creating internal marketing materials, maintaining the divisional website, and organizing special events and activities. This multifaceted position requires strong organizational, communication, and problem-solving skills, as well as the ability to work independently and collaboratively with both internal and external stakeholders.
Key Responsibilities:
Provide administrative support to division leadership and faculty, including calendar management, meeting coordination, and travel arrangements.
Oversee general administrative tasks, manage communications, and ensure smooth information flow within the division.
Coordinate meetings, handle agendas, compose minutes, and maintain executive task lists and project timelines.
Support technology and workflow improvement initiatives, manage documentation, and handle office supply orders.
Facilitate and coordinate weekly Grand Rounds and Research Conference, including presenter scheduling, AV setup, and attendance tracking.
Help plan special events, employee appreciation activities, and design a Year in Review infographic.
Reconcile office invoices, adhere to financial policies, and support financial processes for recruitment, events, and guest speaker reimbursements.
Manage purchasing, travel authorizations, and compliance documentation for division-related financial activities.
Work Location:
Hybrid – this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.
