The Mediation Office is one of the Fund’s Dispute Resolution System (DRS) offices. It is a small unit that provides confidential, independent, impartial, and informal resource that facilitates the resolution of workplace concerns and prevents workplace conflict from escalation. It deals with issues that can have significant impact on the working environment of the Fund and provides a highly confidential and independent resource to help IMF employees resolve workplace problems.
Through its Mediation, Coaching, Facilitation, and Training services as well as the Peers for a Respectful Workplace (PRW), the Office helps staff to find common ground, develop conflict resolution and prevention strategies and safely raise workplace concerns. The office also provides feedback to Senior Management on trends and concerns relevant to the office’s focus on ensuring a workplace characterized by respect, trust, and procedural fairness. The functions and operation of the Mediation Office are governed by GAO 11 Section 03.3.
The Mediation Office is seeking a Projects Officer (PRW Program) to manage and administer the PRW program. The successful candidate should have a strong background in conflict resolution, excellent communication, project management, and interpersonal skills, maturity of judgment, and an ability to work well in a small team situated in a multinational organization. The candidate should be sensitive to the confidentiality needs of the office’s visitors, as well as have expertise in technology and case management. The Projects Officer (PRW Program) will report to the Head of the Mediation Office.
Major Duties and Responsibilities
(1) General administration of the Peers for a Respectful Workplace Program, specifically:
Serve as a first point of contact for the PRW program, identify the needs of the program, and conduct periodic evaluations.
Manage the Program’s database, monitor PRWs’ activity log, analyze trends, and prepare PRW analysis for monthly and annual reports.
Monitor PRW's activities and outreach, and support PRW presentations to departmental leadership.
Manage access to the Program’s platforms, including confidential database and PRW Fund-wide list.
Coordinate regular meetings with PRWs to monitor deliverables and discuss ongoing program issues.
Liaise with all dispute resolution services to ensure collaborative delivery of services.
Support training in effective communication, conflict resolution skills, and topics that promote a positive workplace culture with other groups at the Fund, as requested.
Support expansion of the PRW program, as needed. For example, extending the PRW program to Regional Offices or creating a PRW cohort just for managers and leaders.
Prepare and Monitor Program’s budget.
(2) Election Process of the PRW Program, specifically:
Plan and oversee the annual election process of the PRW Program.
Liaise and coordinate with IT survey team, HR Department, and other departments the design, distribution, and implementation of activities related to the election process.
Prepare official communication to elected nominees and Departments to inform about the results of the election process.
Conduct meetings with elected nominees to provide information about the Program and the role of PRWs.
(3) Training and Providing Support of the PRWs :
Develop, coordinate, and facilitate 3 or more trainings programs for PRWs yearly including a Foundations Course, Advanced Course, and Refresher Training.
Review, design, and update of training curriculum and materials.
Identify and recommend specialized learning activities for PRWs and organize monthly Brown Bag Lunch session workshops to maintain and update skills.
Meet regularly with PRWs and coach them to assist with difficult cases.
Make referrals for PRWs to other dispute resolution offices, as necessary.
Coach PRWs on their own concerns as needed.
(4) Communication and Outreach of the Mediation office and the PRW Program:
Promote the Mediation Office services, including PRW Program and plan periodic communication outreach and activities (open house, video, articles, etc.)
Develop learning events and presentations to a broad group of constituents across the Fund.
