Senior Administrative Coordinator, Gift & Data Processor

This position is responsible for assisting with updating and maintaining LMU’s gift, biographic, and prospect data in a highly accurate and timely manner to ensure that the information on alumni, donors and friends is correct and complete. The incumbent will be supervised by the Associate Director, Advancement Gifts and Records, who will assign and prioritize data projects for both the Westchester and Loyola Law campuses.
Additionally, as a member of a highly customer-service driven team, the incumbent must provide good customer service in adherence with the LMU Service Standards.

Position Specific Responsibilities/Accountabilities
Receive and acknowledge gifts, pledges, and pledge payments, and record all transactions in the University Advancement CRM. Perform manual data entry to process all philanthropic revenue via batches, including funds received through checks, wires, securities, non-cash, payroll deductions and all other payment types.
Regularly reconcile philanthropic revenue with the Controller’s Office and maintain an electronic file system tracking gift batches. Play an active part in assisting the Gifts and Records team to accurately close out the calendar and fiscal years.
Perform regular data cleanup tasks on gift and constituent records to continually improve the data integrity of the University Advancement CRM. Ensure that all data entry protocols and business rules are followed to maintain the accuracy and consistency of all information in the system.
Process biographic updates received from event registrations, student callers, returned mail, online giving portals, mail-house updates, and a variety of other sources. Take part in helping to improve business processes and update corresponding documentation.
Monitor the Advancement Services request queue in an electronic ticketing system, and patriciate in resolving tickets pertaining to the Gifts and Records area. Collaborate with team members to resolve challenging issues and work with the team lead to find solutions.

Requisite Qualifications
Typically, a bachelor’s degree or equivalent combination of education and relevant experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
A minimum of four years of experience with at least two years entering data.
Familiarity with biographic data and gift processing is highly preferred.
Must possess and demonstrate strong spelling, grammar, and math skills.
Demonstrated ability to work quickly and accurately with sustained concentration on a wide range of details in a busy environment is required.
Capacity to handle a high volume of work, changing priorities, and constant interruptions.
Ability to work as part of a team, demonstrate good judgment, common sense and an awareness of appropriate office etiquette, and to be able to work with sensitive information is required.
Demonstrated computer competency, strong keyboard and 10-key skills are required.

Reasonable Expected Salary:
$25 - $26.44 per hour
