Job Description
NBCUniversal’s Corporate Events Department produces high impact experiences for clients and C-suite executives across some of the most recognized brands in media and entertainment – from marquee tentpole events and events that support corporate initiatives, to brand activations and large-scale client programs.
The Corporate Events Associate brings 2-4 years of experience to a role that is equal parts event support and department administration. This person is ready to interface with internal partners, own defined workstreams within larger programs, and begin leading smaller events with oversight from a more senior team member while continuing to execute the operational and administrative functions that keep the department running. This role also carries administrative responsibility in support of the department's SVP and day-to-day operations. Strong organizational skills and multitasking are essential to this role. This position reports to a Sr. Manager.

Event Support
- Serve as a point of contact with internal partners on events, planning meetings, organizing agendas and meeting recaps
- Manage guest communications for events, coordinating travel, answering attendee questions, and troubleshooting registration issues
- Own the invitation and RSVP process for events, maintaining accurate guest lists across multiple simultaneous programs
- Serve as a resource on the department's registration platforms, supporting setup and troubleshooting
- Assist in the production of digital and print event collateral
- Own workstreams or aspects of larger events such as rooming, gifting, food and beverage, transportation coordination, vendor coordination, collateral production, etc.,
- Begin leading smaller-scale events, including internal programs with oversight from a more senior team member
- Conduct research for upcoming events: venues, hotels, activities, vendors, gifting, merchandise, etc.,
- Travel regularly to support events across the country and internationally
- Track domestic and international shipments; liaise with FedEx and other couriers to resolve delivery issues
- Coordinate team shipping of supplies and materials for upcoming events, including unpacking and restocking upon return
Administrative Support (Departmental)
- Provide administrative and operational support across the department - supporting leadership, systems, and day-to-day functions
- Oversee team’s p-cards for event air travel, reviewing and approving all team members’ individual p-card charges
- Set up new vendors in company’s financial database and submit invoices for wire/check payments
- Own a department initiative(s) such as a research archive, vendor database, template library or similar – helping to build resources that benefit the broader department
- Manage the inventory and use of iPads/iPods for events, and keep Spotify playlists current
- Organize and maintain department closets and event supply inventory
- Restock office supplies on an ongoing basis, or when team members request: printer ink, FedEx shipping supplies, name place cards, etc.
- Assist with onboarding new team members: equipment ordering and setup, providing access to all necessary NBCU portals and websites
