About the Role 

Drift is looking for a Senior Executive Assistant to help manage complex projects and support the high-performing Executive Team. In this role, you will have an opportunity to partner with Drift’s leadership, to oordinate directly with customers, candidates, and employees and to optimize the team’s efficiency and organization. This role will be the direct support for our CEO, CFO/COO, SVP of Product and Chief People Officer. You will also work closely with the Chief of Staff to support the leadership team on other strategic programs and initiatives. To be successful in this role, you must be adaptable and a true team player. 

Within one Month,

  • Proactive calendar management for the executive team: CEO, CFO/COO, SVP of Product and Chief People Officer
  • Be the point of contact for logistical needs from our investors, including recurring meetings, board meetings, other strategic and financial processes
  • Coordinate and facilitate logistics for internal and external meetings, including note taking and action item follow through
  • Understand the priorities of your executives in order to best leverage their time
  • Make high-level contacts of a collaborative nature inside and outside the company

Within one Quarter,

  • Assist with internal communications and employee engagement strategies in partnership with the People Team
  • Coordinate seamless end-to-end travel itineraries, and for select events, assist with coordinating agenda items and meetings
  • Manage team and executive expenses and partner closely with Finance on budgetary considerations
  • Assist executives with strategic planning, goal setting and communications, including project coordination

Within one Year, 

  • Work with the Chief of Staff to plan and execute 
    • company-wide meetings, including Monthly Milestones, and the quarterly Company All Hands by coordinating presenters and ensuring that content has been prepared
    • Leadership meetings, including Quarterly Ops Reviews (QBRs for the leadership team), and the preparation for quarterly Board Meetings
  • Assist with other employee engagement programs as needed with relevant team members, including offsites and team gatherings
  • Embody Drift’s leadership principles and the goals of your leaders when engaging with internal and external stakeholders

Attributes for Success

  • 4+ years of experience supporting at least one Executive (C-Suite or VP) with proactive calendar management, including coordinating travel
  • 1+ yrs of SaaS experience preferred
  • Familiarity with SaaS tools and platforms commonly used in the industry, such as project management tools (we use Asana, Google Suite), communication and collaboration platforms (we use Zoom and Slack), expense management (we use Navan)
  • Ability to swiftly handle details of a highly confidential and critical nature
  • Strong judgment and analytical skills
  • Experience working with customers, vendors, visitors, and other dignitaries
  • Strong communication skills and propensity to collaborate cross functionally
  • Talent for multi-tasking, managing up and leading by example 
  • Capacity to thrive in a fast-paced, dynamic environment
  • Keen attention to detail and knack for prioritization 
  • Self-starter, with extreme ownership mentality
  • Comfort with little managerial oversight
  • Life long learner, with yearning to make an impact
