The Administrative Manager will be part of the team supporting the Human Biology Division Administrative Operations Office. This role provides proactive administrative support with a focus on detail, confidentiality, responsiveness, and strong customer service. The Administrative Manager will plan, prioritize, and organize a broad-ranging workload in a fast-paced environment, requiring sound judgment, strong organization, and communication skills. Professionalism is critical in all interactions.
Responsibilities
Meeting Support:
- Manage logistics for special and recurring department meetings, including scheduling, drafting agendas, and providing audiovisual support.
Facilities Oversight:
- Oversee facility and space-related projects, such as conducting annual space audits, handling work orders, addressing engineering issues, and managing office moves.
- Oversee lab space and equipment via the HB Central Lab Committee.
Events Planning and Management:
- Reserve event spaces, coordinate catering services, and maintain necessary supplies.
Travel Management:
- Coordinate travel arrangements and schedules for visitors, speakers, and internal employees attending conferences.
Administration:
- Assist with the onboarding and offboarding processes for Faculty.
- Prepare and distribute memos, emails, reports, and presentations.
- Write weekly communications and update bulletin boards. Support the creation of executive and department deliverables.
- Draft, edit, and proofread business correspondence and presentations.
- Update the internal and external Human Biology Division Website.
Finance:
- Manage and reconcile expense reports.
- Facilitate purchasing and procurement processes.
- Support department contract administration within specified timeframes.
- Coordinate with internal and external stakeholders on vendor contract issues.
- Assist with department budget development and reconciliation.
Other Responsibilities:
- Handle complex assignments requiring critical thinking and initiative.
- Exercise judgment within defined procedures and practices to determine appropriate actions.
- Provide backup support to other members of the HB Administrative Operations Office team.
- Take on special projects as assigned.
Qualifications
MINIMUM QUALIFICATIONS:
- Bachelor’s Degree and three years of administrative management or relevant experience OR equivalent education/experience.
PREFERRED QUALIFICATIONS:
- Proficiency in MS Office, particularly Word, PowerPoint, and Excel.
- Exceptional communication skills, both verbal and written.
- High level of accuracy and attention to detail.
- Ability to analyze and revise operating practices to improve efficiency.
- Superior organizational skills and dedication to timely project completion.
- Adaptable problem-solver.
