Position Summary
Wonderschool is harnessing the power of technology to empower child care providers to build high-quality learning environments and sustainable small businesses. Our products support providers in navigating licensing, managing daily operations, increasing enrollment, and driving long-term profitability through our Child Care Management System (CCMS) and marketplace.
We are seeking a dynamic and relationship-driven Provider Field Representative to support child care providers across the state of Ohio. This role blends field-based coaching, licensing guidance, business consulting, marketing support, and technical onboarding.
The ideal candidate thrives in a hands-on environment, enjoys mentoring small-business owners, and can flex across multiple functions to meet providers where they are. This individual will serve as a trusted advisor throughout the provider journey—from pre-licensing and launch through operational growth and long-term sustainability—while also hosting Wonderschool Academy trainings and representing Wonderschool in the field.
Responsibilities
Provider Coaching & Mentorship

Deliver personalized onboarding experiences tailored to each provider’s stage of business.

Build strong relationships through field visits, virtual coaching, and proactive outreach.

Serve as an ongoing mentor, helping providers navigate challenges and achieve business goals.
Licensing & Regulatory Support (Ohio-Specific)

Guide providers through Ohio state licensing requirements and compliance processes.

Review licensing documentation, operational policies, and required paperwork.

Support business formation tasks such as EIN registration, insurance setup, banking, and required documentation.

Help providers prepare for inspections and maintain regulatory compliance.
Business Consulting & Financial Foundations

Coach providers on small business fundamentals including:

Pricing strategy and tuition modeling

Budgeting and cash-flow management

Startup cost planning

Financial tracking systems

Support operational planning, staffing considerations, and potential growth strategies.

Assist providers with grant readiness, documentation practices, and business record organization.
Marketing & Enrollment Growth

Help providers articulate their program’s mission, philosophy, and unique value.

Support branding, local visibility, and digital presence (Google Business Profiles, marketplace listings, reviews).

Coach providers on building enrollment pipelines and converting inquiries into enrollments.

Strengthen provider communication with parents and community engagement efforts.
Technical Onboarding & Product Adoption

Lead onboarding and implementation of Wonderschool’s Child Care Management System (CCMS).

Train providers through demos, walkthroughs, and practical coaching on billing, enrollment workflows, communication tools, and reporting features.

Identify gaps in product adoption and encourage feature utilization that improves efficiency and revenue consistency.

Provide light technical troubleshooting and escalate issues when needed.
Wonderschool Academy & Field Engagement

Host and facilitate Wonderschool Academy training sessions (virtual and in-person).

Represent Wonderschool at provider events, trainings, and community gatherings.

Travel throughout Ohio (up to ~50%) to support in-person onboarding, relationship building, and training.
Cross-Functional Collaboration

Maintain accurate provider records and engagement notes in HubSpot CRM.

Partner with Sales, Support, Product, and Engineering to share provider insights.

Advocate for providers by identifying trends, challenges, and opportunities for product improvements.
Required Qualifications
-
3+ years of experience in onboarding, customer success, account management, business consulting, or similar roles
-
Experience supporting small business owners, ideally in regulated industries (child care, education, healthcare, etc.)

Familiarity with business formation processes, financial fundamentals, and compliance requirements

Experience training non-technical users on software platforms; SaaS onboarding experience preferred
