What you will do

This is an exciting opportunity for an Executive Administrative Assistant to support the Head of Quality, Compliance & Performance and the leadership team.  This Assistant will also support the Head of Quality NA & Global COE. This position is generally varied, including complex administrative duties and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment and resolution of complex situations/problems.  Must have the ability to respond to shifting priorities.  Duties will include managing calendars, scheduling meetings, making complex domestic and international travel arrangements and managing expense reports.   

Responsibilities

  • Scan email for the executive and highlight items for review or action.
  • Respond to routine correspondence under own signature or draft response for executives’ review on more complex correspondence.  
  • Follows up on items delegated to others by executive.
  • Screens calls and responds to complex inquiries from all levels of employees or external sources regarding a variety of questions. 
  • Must have ability to make last-minute changes to calendar due to shifting priorities. 
  • Must often make decisions without prior approval from assigned leaders. 
  • Excellent collaboration and teamwork skills are required in order to coordinate with other administrative staff to accomplish departmental activities.
  • Responsible for handling and maintaining confidential records or reports.
  • Determine methods and procedures on new assignments and may provide guidance and direction to other personnel.  
  • Build and maintain organizational charts for the department and will assist with confidential budgeting and strategic planning initiatives.
  • Assists with Human Resource functions including employee movement, interview coordination and onboarding of new department members working closely with department leaders, Global Services and Talent Acquisition.
  • Responsible for purchasing and accounting resolution for department, including ordering supplies and coordinating resolution of accounting issues.

Qualifications:

  • High school diploma (college degree preferred).
  • Prior experience as an Executive Assistant is preferred.
  • Minimum of seven (7) years of experience providing progressively responsible administrative support to senior level management.
  • Ability to interface with staff and senior level leaders, and executive leadership of internal/external partners is required.
  • Experience coordinating daily calendars, preparing expense reports and arranging domestic and international travel for multiple leaders is required.
  • Must have excellent written and verbal communication skills including attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks.
  • Manages multiple, sometimes conflicting priorities in a fast-paced and demanding plant environment.
  • Ability to prioritize and execute tasks with minimal direction or supervision is required.
  • Excellent listening, analytical, facilitation and organizational skills is preferred.
  • Strong collaboration, influencing and relationship development skills is preferred.
