About the role
The Opportunity
We are looking for a driven and highly motivated Executive Assistant to support the VP, North America. An Executive Assistant plays a crucial role in supporting executive within the organization. The individual will have a proactive approach to anticipate needs, help manage their time, solve problems before they arise to enable them to focus on their core responsibilities.
What you'll get to do
Administrative Support:
- Responsible for the complete calendar management: Coordinate all meetings, prioritization of meetings and calendar timing through understanding the business and current business activities.
- Arrange travel itineraries, flights, accommodations, and transportation. This includes ensuring all travel-related documents and logistics are in order.
- Manage and maintain business and travel expenses: Including processing invoices, track progress and proactively follow up to ensure timely payment.
- Provide support and/or lead ad-hoc projects as needed.
- Perform other duties needed to help drive our vision, mission, and values.
Communication:
- Act as a liaison between the executive and other staff members, clients, and external partners through effective communication.
- Collaborate with other members of the EA team to provide seamless support throughout the company.
Meeting and Event Coordination:
- Plan and organize onsite and offsite meetings, conferences, and events. This includes booking meeting rooms, sending out calendar invites, managing catering, room setup/cleanup and securing/preparing audio/video equipment for presentations and other tasks as necessary.
- Prepare meeting agendas, taking notes, and distribute follow-up action items. This may include creating, editing or refining presentations.
We'd love to meet you if you have
- 2-3 years of Executive Assistant experience.
- Bachelor’s degree preferred.
- Must be proficient in MS Office (PowerPoint, Word, Excel, Outlook).
- Must be willing to work a hybrid schedule (5 days in office).
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Flexibility and adaptability to handle changing priorities and diverse tasks.
- Excellent communication skills with the ability to maintain professionalism with internal and external customers.
- Must be comfortable with dealing with sensitive and confidential information and must maintain professional relationships with all areas of our business.
- Highly organized with great attention to detail.
- Demonstrate a record of punctuality and dependability.
- Ability to make decisions and resolve complex problems both independently and as a team member using judgment and creativity to determine the best approach or action to take in situations.
- Collaborate with other team members to ensure effective communication and coordination.
