Job Description 

We are seeking an Executive Assistant who will support our Director of Tolling with a variety of administrative and operational duties. This role is will also be responsible for assisting the contract’s Project Manager with numerous project and contract management tasks. The ideal candidate will be proactive, detail-oriented, trusted with confidential information, and able to work well with others. Work is generally performed independently and reviewed by manager or senior team member for direction and end results.  

Key Responsibilities 

  • Provide comprehensive administrative support to the Director of Tolling, including proactive management of the Director's needs.
  • Manage and maintain calendars, scheduling meetings, conferences, and travel arrangements, and ensuring timely updates and notices.
  • Coordinate and manage logistics for meetings and events, including preparation of agendas, taking minutes, and documentation.
  • Assist with project and department coordination, including tracking progress, coordinating with team members, and managing department programs, tasks, and budgets.
  • Handle contract management tasks, including updating, reviewing, and organizing contracts.
  • Prepare and submit expense reports.
  • Perform various administrative duties, such as distributing mail, ordering office supplies, answering phones, handling printing tasks, and managing pick-up and drop-off of items, etc.
  • Communicate effectively with internal and external stakeholders, fostering positive and collaborative relationships.
  • Coordinate ongoing training needs, onboarding, security controls, and IT equipment for team members.
  • Develop and implement procedures for improving quality, ensuring accuracy, and expediting workflow in line with contract requirements and priorities. 

Qualifications 

  • Bachelors’ degree (Business or Finance), or equivalent work experience; and a minimum of 2 years of related experience in administration
  • Proven experience in varied administrative, business, or office work. 
  • Strong organizational and time management skills
  • Excellent attention to detail and accuracy
  • Proactive and able to anticipate needs
  • Strong interpersonal skills and ability to work well with others
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with project management tools and contract management software is a plus
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion

Compensation

This position will be filled at a salary range of $57,569 to $83,115 in Harrisburg, PA depending on experience.

Work Schedule

Flexible on number of hours worked per week between 20-40 hours. Preference is 30 hours per week.
