Camp Administrative Assistant I

Summary:
This detail-oriented individual will use strong organizational skills to support the clerical details within the Camping department. This individual will represent a Christ-centered, relationship-oriented organization in a professional manner.


Essential Duties:
  • Provide administrative support to the Camping department to include the following:

  • Organize and respond to, as appropriate, all incoming correspondence (phone, email, U.S. mail).

  • Assist callers with information as needed (e.g., provide information regarding summer session dates, fax directions, etc.)

  • Maintain department phone list, birthday events, time records and devotional calendar.

  • Maintain office files for immediate retrieval and organize filing systems.

  • Monitor, maintain and order adequate supplies for the Camping department.

  • Assist Camping executive administrative assistant with meeting coordination and support.

  • Assist with the camp flyer order process; take phone and email orders for flyers and on a monthly basis, transfer postage expense from the mail room to areas requesting flyers.

  • Provide first level support of the Camp Reservation System. Add new users and help identify and resolve problems reported by administrators at camps.

  • Review and post job openings on the public website on behalf of camps.

  • Collect school calendar information to be used in development of summer camp calendars.

  • Work closely with the Camping executive administrative assistant and support when and wherever needed.

  • Complete special projects as assigned by Camping department staff.


  • Education:
    High school education or its equivalent required; some college (or equivalent) desired.

    Experience Required For The Job:
  • Two years previous clerical assistance experience.

  • Strong organizational skills.

  • Professional appearance with pleasant phone presence.

  • Ability to manage and prioritize concurrent duties.

  • Display positive relational skills.

  • Attentive to details.

  • Show initiative.

  • Portray a positive attitude.

  • Service-oriented.

  • Follow-up on assigned tasks.

  • Ability to perform under stress, noise and constant interruptions.

  • Possess moderate computer knowledge of Windows, Word, Excel, Outlook and the Internet.

Responding to the unexpected needs of a guest in a prompt and professional manner is important. All staff members are expected to represent Young Life positively and professionally within the community and be able to work with and minister to the volunteer high school and college-age young people who attend our camps.

    Job Specific Working Conditions:

    - Southwind is located in beautiful Central Florida. Southwind is close to Orlando and Gainesville, which offer many outdoor adventure opportunities, and a full array of amenities. Southwind operates year round and serves every brand of Young Life camping and a variety of church groups, private Christian schools, and outreach ministries. Southwind is in an exciting stage of a master plan build-out that includes new structures and the remodel of existing structures. Southwind’s culture is focused on helping staff develop and grow their relationship with Christ, develop and grow vocationally and professionally, and creating an environment where Southwind’s guests experience God’s transformative love.
