Job Description
Administrative Assistant (Office of Belonging, Part-Time 28 hours/week)
This position reports directly to the Executive Assistant to the Vice President for Belonging as they support the work of one Associate Vice President for Belonging, the Director of Belonging Experiential Learning Initiatives, and the Manager of Belonging Educational Services. It works with this team to develop: 1) belonging curriculum and resources; 2) belonging inspiring experiential learning opportunities; and 3) belonging assessments, data and reports. This position is instrumental in assisting with operation of student support systems including Salesforce and coordinating contact with students, staff, and faculty, and maintaining general support services for BYU students.
Note: This is a part-time position (28) hours per week.
What you’ll do in this position:
- Supports members of the Office of Belonging team, namely one Associate Vice President for Belonging (AVP), the Director of Belonging Experiential and Clinical Learning Initiatives, and the Manager of Belonging Educational Services.
- Assists these team members with special projects.
- Reconciles charges in Workday.
- Coordinates appointments, meetings, and staff calendars and schedules.
- Oversees the timesheets of student employees working under the AVP, Director, and Manager.
- Performs various office duties, including ordering general office supplies and managing the security of office technology.
- Handles correspondence and communication on behalf of the AVP, Director, and Manager, including drafting emails, memos, and other written materials.
- Conducts research and gathers relevant information to support the decision-making processes and project planning.
- Coordinate travel arrangements and logistics, including booking flights, accommodations, and ground transportation for the AVP, Director, and Manager, and for students traveling on belonging study experiences.
- Other duties as assigned.
Program Assistant
- Supports the Associate Vice President for Belonging with the work of the University Belonging Council and other councils/committees and the initiatives and engagements of those councils/committees.
- Supports the Director of Belonging Experiential and Clinical Learning Initiatives in coordinating clinical and experiential learning experiences.
- Liaise with internal and external stakeholders, including faculty, staff, students, and community partners, to facilitate effective communication and collaboration.
- Supports the Manager of Belonging Educational Services with assessments, data collection, analysis and reports.
- Other duties as assigned.
Professional Development
- Participates in conferences, trainings, and seminars to stay informed about the most current student development research and trends.
- Shares knowledge with supervisor and team to assist in developing the department and to effectively utilize time and resources.
What qualifies you for this role:
Required
- A firm commitment to the mission of BYU.
- Associate degree or equivalent experience.
- Proven experience in relevant administrative support areas.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Strong analytical, critical thinking, and problem-solving skills.
- Ability to organize a daily workload by priority.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills.
- Resource management skills.
