About the role

Under general supervision, the Administrative Assistant provides clerical support services such as preparing correspondences, preparing reports, receiving visitors, answering telephones, scheduling meetings and maintaining department files.

Core Competencies

  • Accepts and screens telephone calls on the main office line and routes calls appropriately.

  • Acts as a liaison for the department with other hospital departments, physicians, office staff, and others as necessary.


  • Participates in departmental meetings and departmental development activities.



Department Specific Competencies

  • Provides full range of reception services including, but not limited to: accepting and screening telephone calls, routing calls as appropriate, receiving visitors and preparing correspondences.

  • Sorts and distributes mail and delivers messages.

  • Runs and distributes physician activity reports to physicians, physician offices and outside facilities.

  • Assists with physician orientation including taking photos, making ID badges, registration for Tap and Go, Mobil Heartbeat, eprescribe, and N95 fit testing.

  • Maintains physician files for expiring licenses/certifications including medical license, malpractice coverage, DEA certification, fluoroscopy certificate, ACLS, PALS certificates, and ENLS certificates. When such certificates expire, this position is responsible notifying the physician, and the medical center staff of the suspension. This position also is responsible for all of the suspension notification paperwork, including removal from access to the Electronic Medical Record.
  • Administrator for the Room Scheduling software. Prepares user profiles as well as schedules the larger conference rooms for the entire medical center. This position is also responsible for posting the daily conference room schedule throughout the medical center.
  • Maintains and orders office supplies for the department.

  • Monitors the OIG, SAM and state exclusions for physicians.
