JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 provides administrative support to the Chair of Anatomy and Neurobiology and manages administrative matters for faculty and staff in the department. This position serves as the departmental liaison to the Basic Sciences Administrative Core and ensures the department meets administrative deadlines and conforms to UT System policies and procedures within the administrative functions of the department. 

 

DUTIES AND RESPONSIBILITIES:

  1. Provides a wide range of complex office administrative support for assigned departments/divisions while serving as primary contact and liaison with internal and external customers.
  2. Assists with the coordination of faculty recruitment and onboarding, monthly faculty effort certification (ECR); compiles and analyzes data required for administrative and financial reports.
  3. Assists with submission of faculty Annual Performance and Planning Review (APPR) documents into Digital Measures by maintaining CV and/or biographical sketches.
  4. Manages faculty calendars/arranges meetings, appointments and travel.
  5. Processes departmental monthly, biweekly, FML, and temporary employee time sheets into IRIS.
  6. Prepares and coordinates special projects for the department Chair, Faculty and Director.
  7. Assists with coordinating and planning seminars supporting the Neuroscience Institute and the Department of Anatomy.
  8. Produces manuscripts and creates PowerPoint presentations for lectures; designs and produces flyers.
  9. Assists with training of new administrative support and departmental staff including onboarding of new faculty, staff, students, and post-docs.
  10. Routes phone calls, shipping and receiving mail, and responds to emails as needed.
  11. Performs other related duties as assigned.
 

Qualifications

 

MINIMUM REQUIREMENTS:  

EDUCATION: High School Diploma or GED. (Bachelor’s degree preferred). (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of related job experience; OR Associate’s Degree and two (2) years of work-related experience; OR Bachelor's Degree in lieu of experience. 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work in Microsoft Office Suite and command of various software programs.
  • Excellent interpersonal skills.
  • Ability to communicate effectively and professionally.
  • Excellent written and communication skills.
  • Must have good editing and organizational skills.
  • Knowledge of UT policy and procedures.

WORK SCHEDULE: This position is occasionally required to work evenings and weekends.
