The Senior People Services Specialist role is key in delivering expert-level HR administrative support across hire-to-retire processes, with a strong focus on accuracy, compliance, and system updates in Workday. The position involves handling complex and non-standard HR queries, leading annual activities, and driving continuous improvement across HR operations.
The role is an integral part of the People Services team based in Poznań, which supports HR operations across the EMEA region. This role is specifically dedicated to the German and Austrian markets, requiring a solid understanding of local HR regulations and service delivery standards.
Responsibilities:
Deliver expert-level HR Administration support across all hire-to-retire processes, ensuring accuracy and compliance in HR documentation, reporting, and system updates (Workday) across business units in a service center environment.
Act as a subject matter expert for complex and non-standard HR queries, often requiring independent resolution due to lack of documentation.
Demonstrate deep system knowledge and process ownership, particularly in areas where precision and insight are critical to successful outcomes.
Serve as a point of contact and escalation for key stakeholders, ensuring timely and effective resolution of sensitive or high-impact issues.
Provide guidance and share best practices with colleagues, supporting them in navigating complex processes and fostering a collaborative team environment.
Lead key annual activities for the People Services team, including audit preparation and support, policy implementation, and process reviews.
Collaborate effectively with internal stakeholders (e.g., managers, HR Business Partners) and external vendors to ensure seamless service delivery and issue resolution.
Drive continuous improvement initiatives, contributing to the simplification, standardization, and optimization of HR processes.
Ensure service levels and customer satisfaction targets are consistently met or exceeded.
Ensure compliance with local market requirements by adapting HR processes and documentation to meet country-specific legal and regulatory standards.
Maintain and enhance documentation standards, including Work Instructions, in alignment with evolving policies and operational needs.

Qualifications & Skills:
Bachelor’s degree in Business, Human Resources, or a combination of education and/or equivalent work experience
Proven experience working in HR teams, with a strong focus on HR administration, service delivery, and process improvement
Fluency in German and English is required; Polish language skills are a plus
Demonstrated experience in managing stakeholders and delivering key HR projects in collaboration with cross-functional teams
Strong customer service orientation and ability to manage complex queries with professionalism and accuracy
Experience supporting internal and external audits, ensuring documentation and processes meet compliance standards
Track record of contributing to continuous improvement (CI) initiatives within HR operations
Experience leading continuous improvement (CI) and process change initiatives, with a track record of improving operational outcomes and service quality
Advanced user in Microsoft Excel
Strong attentive listening skills and high attention to detail, ensuring accuracy in handling sensitive HR data and documentation
Ability to take initiative and independently manage complex cases, often requiring creative problem-solving and decision-making without predefined guidance
Skilled in managing multiple priorities and thriving in a fast-paced, dynamic environment
Analytical mindset with the capability to interpret data and identify trends or process gaps
Proven ability to maintain confidentiality and handle sensitive information with discretion
