Fleet Administrator is responsible for preparing and maintaining accurate records of vehicles and required regulatory filings and reporting. They also coordinate repairs with outside service vendors and support scheduling for preventative maintenance. Fleet Administrators assist with Parts ordering and storeroom inventory, safety training and communication programs. They are responsible for assisting with the day-to-day operations. This includes ensuring that all vehicles are properly maintained and serviced.
Responsibilities
- Monday to Friday, 8 AM to 5 PM
- Maintain and audit electronic vehicle files.
- Perform daily equipment yard walks/checks
- Order parts as needed.
- Issue and receive purchase orders.
- Charge parts to work orders and maintain storeroom inventory.
- Assist with technician safety training and safety records.
- Coordinate repairs with outside service vendors.
- Review internal and external fleet repair orders for discrepancies.
- Work between multiple locations.
- Assist in managing fleet insurance and registration cards processes.
Compensation and Benefits:
- The expected compensation range for this position is between $38,700 - $61,850.

- Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications
- High School diploma or GED required
- Knowledge of mechanical work and ability to balance repair time, costs, and business needs
- Able to understand basic fleet terminology
- Superb organizational, communication, and analytical skills
- Ability to effectively communicate with suppliers and key stakeholders in a professional and constructive manner
- Must have strong analytical and problem-solving skills in order to formulate effective action plans to deal with issues proactively
- Have basic fleet parts knowledge
- Must be able to work independently without direct supervision and within a team
- Must have a Team / collaboration based approach to decision making
- Must have a “Can Do” attitude with a willingness to assist others in completing activities as needed
- Collaborate with peers to balance daily workloads and support the business
- Willingness to embrace change and all other assigned duties for the greater good of the team
- Produce/review various performance reports to drive results
- Strong attention to detail
- Flexible and able to work under pressure to balance competing priorities with strong organizational skills. Able to manage several tasks simultaneously
- Proactively work to organize, respond to needs and anticipate what is needed by the individuals for whom she/he supports
- Resolve vendor maintenance billing issues. Work closely with local fleet and vendor teams for resolution
