The Administrative Development Assistant under our Expanded Learning Programs will provide support services to the operation of the east bay expanded learning programs and director team. They will facilitate communication between the director team, management team, coordinator teams and/or central office staff. In addition, will support the administrative planning, implementation and execution of initiatives and special projects. This is a full time hybrid position, typical work schedule 9am-6pm Monday-Friday.

Minimum Qualifications
- Must be located in Bay Area, California
- Minimum of 48 college units completed or completed Associate's Degree, Bachelor's preferred
- Must have valid driver's license & personal vehicle to travel across the Bay Area as needed
- Minimum 2 years of continuous experience in an administrative role in a nonprofit & education
- High proficiency with Google Suite (Google Drive, Docs, Sheets, Slides, Gmail) & Microsoft Office (Word, Excel, Powerpoint), & Canva
- Ability to serve as a positive representative of the agency and maintain a cooperative working relationship with BACR employees, the public and other partners.
- Ability to maintain a high level of confidentiality regarding staff personnel records and other agency related matters

Responsibilities
- Provide a high level of support to the Program Director and Associate Director team, supporting in administrative details, coordination and communications. Perform other duties as directed by the Program/Associate Director or as may be reasonably expected. Develop and maintain online toolkits forms, resources with direction from Training and Development Manager, and filing and scanning systems
- Meeting and training support: Coordinate/set up/handle training logistics: including setting or creating up agendas, sign in sheets, and coordinating food. Prepare & organize meeting materials. Transcribe detailed notes for both manager & coordinator meetings & training’s, along with distributing notes & action items to attendees. Ensures follow up is completed as needed.
- Supplies and Inventory: Order and maintain East Bay Expanded Learning programs mass order office supplies. Maintain clean/organized office space for EXL El Cerrito and Antioch offices (includes fridge, offices, storage room, deliveries distribution.)
- Onboarding support: Assist in Outreach and Recruitment for EB ASP (including flow of resumes, postings and following up with candidates). Support recruitment efforts for the Summer Program, as well as ordering supplies and coordinating deliveries. Assisting PAC (People and Culture (HR)) with fingerprinting (if necessary), collection of HR documents outstanding or necessary (i.e. TB clearance) on as needed basis. Assist in administration of IA (Instructional Aid) tests to new applicants. Develop and create effective marketing materials (i.e. recruitment flyer, newsletters, etc)
- Communication support: act as a liaison between Program Directors or Management Team and CEO, Central Office staff, Site Coordinators or program staff regarding BACR matters. Responding to district partners or County Office of Education requests from forms, materials, data gathering, information sharing, or scheduling people for trainings
- Engagement: Lead community building activities and create positive climate opportunities. Greet the public; inform the staff person of visitor/client(s) arrival; answer general after school program questions via phone or email. On an emergency basis serve as a substitute at a site.
- Resource Development (such as Health and Wellness Guide, Recruitment Guide, Research of possible local connections). Create and maintain quarterly newsletter to distribute to BACR and District contacts and partners. Create and maintain the EBAS Calendar and end of the year calendar. Create and distribute google registration forms during Winter, Spring and Summer intersessions.
