About the Role
The Facilities Project Manager oversees the planning, execution, and delivery of facility construction, renovation, and capital improvement projects from concept through closeout. This role ensures that all projects are completed on time, within scope, and within budget while maintaining compliance with company standards, local regulations, and safety requirements.
Additionally, this position manages the contract lifecycle for facilities-related vendors and service providers, coordinating procurement activities, tracking contract performance, and ensuring all documentation, schedules, and deliverables are current and compliant.
About the Work
Project Management:
- Plan, organize, and manage multiple facilities construction and renovation projects from initiation to completion.
- Develop project scopes, budgets, schedules, and milestones in collaboration with internal stakeholders and external partners.
- Coordinate with architects, engineers, contractors, and consultants to ensure design intent, constructability, and timely delivery.
- Conduct regular site inspections to monitor progress, quality, and safety compliance.
- Identify risks and proactively implement mitigation strategies to avoid schedule delays or cost overruns.
- Prepare and present project status reports, forecasts, and updates to leadership and cross-functional teams.
- Manage project closeout, including punch lists, warranties, and documentation handoff.
Contract Coordination & Procurement:
- Assist with drafting, reviewing, and managing contracts, RFPs, RFQs, and vendor agreements for construction and facilities services.
- Track contract deliverables, timelines, and renewals to ensure compliance and performance.
- Collaborate with Finance and Legal teams on contract terms, budget tracking, and invoice reconciliation.
- Maintain accurate records of bids, agreements, change orders, and contractor communications.
- Support vendor prequalification, performance evaluation, and ongoing relationship management.
Budget & Compliance:
- Monitor and report on project budgets, forecasts, and expenditures.
- Ensure all work complies with applicable codes, environmental standards, and company safety policies.
- Manage permitting and regulatory processes as required.
Collaboration & Communication:
- Serve as the primary liaison between Facilities, internal departments, and external vendors.
- Communicate project goals, updates, and issues clearly to stakeholders at all levels.
- Support strategic facilities planning and space utilization initiatives as needed.
About You
Education & Experience:
- 5+ years of experience in facilities project management, construction administration, or contract coordination (corporate, industrial, or institutional environment preferred).
- Experience managing multiple concurrent construction or capital projects.
- Demonstrated knowledge of construction methods, building codes, and procurement best practices.
Skills & Competencies:
- Strong project management and organizational skills with attention to detail.
- Proficiency in project scheduling and management software (e.g., MS Project, Smartsheet, Procore).
- Excellent negotiation, communication, and interpersonal skills.
- Ability to interpret technical drawings and specifications.
- Strong financial and analytical acumen for budget tracking and reporting.
- Collaborative mindset with the ability to influence across departments and vendors.
- Familiarity with AutoCAD, Bluebeam, or BIM tools a plus.
- PMP, LEED, or CMMS experience a plus.
Certifications (Preferred):
- PMP (Project Management Professional), OPMA, or Similar
- Certified Construction Manager (CCM)
- Facilities Management Professional (FMP) or Certifie
