POSITION TITLE: Store Maintenance Coordinator
REPORTS TO: Manager - Store Maintenance
POSITION SUMMARY:
The Store Maintenance Coordinator provides a variety of management support duties to the Maintenance Department, ensuring efficient scheduling, communication, documentation, and recordkeeping of maintenance operations. This role serves as the central point of coordination for work orders, purchase orders, vendor communications, project tracking, and reporting. The Coordinator ensures maintenance requests are logged, assigned, and completed on schedule while maintaining accurate records and documentation.
RESPONSIBILITIES:
- Field and resolve all store maintenance reports, including structural damage, mall negligence issues, and Fire Marshal inspection requirements.
- Log, assign, and track work orders from inception to completion, ensuring all repairs are performed on schedule.
- Participate in a rotating on-call schedule to address urgent facility issues and support Loss Prevention/Insurance departments.
- Maintain a nationwide database of service contractors and coordinate changes, additions, or deletions to the vendor pool.
- Assist in soliciting, qualifying, and awarding contracts; negotiate service terms to ensure cost efficiency and quality.
- Conduct ongoing quality and performance checks on outside contractors to ensure work meets company standards.
- Familiarity with OSHA, fire safety, and regulatory compliance recordkeeping
- Coordinate nationwide preventative maintenance (HVAC, electrical, plumbing) and facility inspections.
- Maintain accurate store repair histories and ensure all safety, fire code, and regulatory compliance records are up-to-date and audit ready.
- Partner with Store Project Design and Construction teams to implement warranty claims and design improvements.
- Assist in preparing maintenance budgets, cost estimates, and material take offs.
- Provide administrative support to Facilities leadership, including meeting coordination and departmental communications.
- Perform other duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree in Architecture, Engineering, or a related field or equivalent combination of education and experience
- 3+ years of experience in store maintenance services, facilities coordination, or maintenance administration, preferably for a national retail, hotel, or restaurant chain.
- Strong technical knowledge of building systems (HVAC, electrical distribution), building codes, construction terminology, and safety/compliance processes.
- Ability to read and interpret blueprints, as well as perform material take offs and cost estimates.
- Experience managing operational workflows, including the processing of work orders, purchase orders, and invoices.
- High degree of proficiency with Microsoft Office Suite and Google environment.
- Excellent verbal and written communication skills, with the ability to collaborate with external vendors, service providers, and influence senior management.
- Strong analytical and problem solving skills, with the ability to address urgent customer service requests and prioritize tasks in a fast paced, deadline oriented environment.
- Self-motivated team player with critical attention to detail and the ability to work collaboratively to meet strict deadlines.
HOW WE WORK:
Working environment is in the office Tuesday, Wednesday, and Thursday during business hours. Monday and Friday can be remote provided employee has stable internet and phone access with reliable VPN connection to network drives. During all days, employee should maintain an up to date calendar at least a week in advance and is responsible for coordinating rescheduling when they can no longer attend meetings during available times slots on their calendar. Remote work during in person days should be coordinated in advance with manager on as needed basis. Working a rotating on-call schedule is required.
