ABOUT THIS JOB
Position Specific Summary
The Code Enforcement Administrative Assistant position at the City of Tucson’s Planning and Development Services Department provides administrative and clerical support to Code Enforcement personnel and the public.
Work is performed under the supervision of an Inspections Supervisor. This position does not supervise.
Duties and Responsibilities
Processes city public records requests for inquiries regarding Code Enforcement cases and responds to general information requests. Processes Homeless Protocol work order referrals by updating the application and generating cases for inspection.
Responds to inquiries by answering routine questions related to department functions and procedures, refers more complex queries to the appropriate person, division or department. Distributes incoming mail and maintains filing of code enforcement cases.
Processes code enforcement issued civil citations and initiates service via mail, process service, or publication. Sends issued citations to City Court for docket creation and hearing scheduling. Assists with data entry and reporting for code enforcement division metrics including processing and maintaining spreadsheets, logs, and files for the division.
Provides excellent customer service to both internal and external customers by communicating with constituents, other departments, Mayor & Council, and Ward offices through email, phone, and in-person. Serves as initial contact for outside calls and unscheduled visitors or constituents and acts as backup for customer service duties as needed.
Processes specific division office supply requests and maintains adequate common office supplies including inspection forms.
Coordinates and schedules inspections, including field visits by Code Enforcement Inspectors. Manages the calendar and appointments for code enforcement leadership. Arranges schedules for hearings, meetings, or public notices related to code enforcement activities as directed by leadership.
Performs all other duties and tasks as assigned.
Working Conditions
Mostly office environment.

MINIMUM QUALIFICATIONS
Education:Six (6) months post high school
Work Experience:
One (1) year of directly related experience
Any combination of relevant education and experience may be substituted on a year-for-year basis.
Preferred Qualifications:
A minimum of two (2) years of general office experience
Strong communication skills, both oral and written
Experience with Microsoft Products including Word and Excel
