We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office by providing administrative support to various departments and assisting with day-to-day tasks. Your responsibilities will include managing correspondence, scheduling appointments, organizing meetings, and maintaining records. The ideal candidate should have excellent communication and organizational skills, be proficient in office software applications, and be able to multitask effectively in a fast-paced environment.
Responsibilities:
- Manage and prioritize incoming and outgoing correspondence, including emails, letters, and phone calls.
- Schedule and coordinate appointments, meetings, and travel arrangements for executives and team members.
- Prepare and distribute memos, reports, and presentations as requested.
- Maintain and update company databases and filing systems.
- Assist in the preparation and coordination of meetings, including booking conference rooms, arranging catering, and preparing meeting materials as well as presentations/video editing.
- Greet visitors, answer inquiries, and direct them to the appropriate person or department.
- Perform general administrative tasks, such as mailing, and filing.
- Order and maintain office supplies and equipment inventory.
- Assist with special projects and events as assigned.
- Provide administrative support to other departments as needed
Job Qualifications
- High school diploma or equivalent; additional certification or education in office administration is a plus.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), video editing and other relevant software applications such as TEAMS.
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in all work.
- Ability to handle sensitive and confidential information with integrity.
- Strong interpersonal skills and the ability to work effectively in a team-oriented environment.
- Proactive and resourceful problem-solving skills.
- Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
- Professional and friendly demeanor with a customer service-oriented approach.
