Job Description
This hybrid role provides high-level executive support to the Senior Vice President of Digital For Versant Sports and Entertainment while contributing to the operational efficiency of the Digital Production and Originals team. The position requires strong organizational skills, discretion, and the ability to manage multiple priorities, while also supporting production workflows, talent tracking, and project coordination.

Key Responsibilities:
Executive Support & Administration (50%)
- Provide comprehensive administrative support including managing daily workflows, calendar and meetings, contacts, correspondence, and call lists while maintaining constant communication with the Senior Vice President, Digital
- Anticipate needs, identify scheduling conflicts, and proactively resolve issues in collaboration with senior leadership
- Manage complex calendars and coordinate detailed meeting logistics across multiple stakeholders
- Arrange domestic and international travel, including itineraries, accommodations, and transportation
- Handle confidential information with discretion while interacting with executives, talent, agents, and business partners
- Coordinate meetings, including reserving conference rooms, ordering catering, and managing on-site logistics
- Plan and execute corporate and personal events, including securing reservations at high-demand venues
- Prepare, submit, and process expense reports, including travel-related expenses; assist in resolving expense issues
- Coordinate car services and transportation for executives, visitors, and guests
- Partner with HR, IT, Telecom, Facilities, and Operations & Technology teams to onboard new hires and support team transitions or office moves
Production Operations & Coordination (50%)
- Serve as a liaison between executives, internal departments, and external production partners to ensure timely communication and execution
- Support production operations by assisting with scheduling, workflow coordination, and day-to-day team needs
- Manage tax rebate processes for active productions, including application submissions, tracking progress, and maintaining status grids
- Maintain and update a database of above-the-line production talent, including sourcing candidates from agencies and tracking historical data
- Review production deliverables and communicate feedback with third-party production companies
- Train in and utilize internal production systems (e.g., Air Table, Dropbox, Orange Logic) to support workflow efficiency
- Maintain database of production freelancers
- Code invoices for accounting purposes
- Assist in video archival processes
- Assist with special projects and initiatives related to production and partnerships as needed
Qualifications
- Strong organizational and multitasking skills with high attention to detail
- Ability to manage confidential information with professionalism and discretion
- Excellent communication skills and ability to interact with stakeholders at all levels
- Experience with calendar management, travel coordination, and expense reporting
- Interest in or familiarity with production operations, talent management, or media workflows is a plus
- Proactive, solutions-oriented mindset with the ability to anticipate needs and problem-solve independently
Desired Characteristics:
