Responsibilities
- Proactively provides daily support for Partners and Managers
- Maintains electronic files of records and correspondence (Cloud based e-filing and document management). Locates files (past and current) for partners and staff
- Manages multiple Outlook calendars, contacts, and other delegations. Schedules and arranges meetings – virtually and/or live-in-person (requiring further in-office preparations and conference room set-ups), and may be asked to take notes/minutes
- Enters time and expense reports on behalf of Partners/Managers or department staff, processes billing to specifications and distribute invoices
- Answers incoming calls on a rotation basis
- Signs on behalf of superior, as delegated, his or her name to correspondence, requisitions, vouchers, and other forms of consequence via SafeSend
- Circulates reports to department staff to gather updates containing results that tend to establish precedents, and organizing/saving back-up correspondence for future reference
- Preparation of engagement letters, Manage SafeSend
- Assists with billing and collection
- Prints tax returns for preparers
- Makes post office errands as needed
Knowledge, Skills & Abilities
- Ability to effectively manage aggressive deadlines and timelines
- Knowledge of office etiquette, methods and procedures
- Ability to operate office equipment - all-in one printer/scanners, laptops & computers, e-fax
- Strong verbal and writing skills
- Strong organizational skills
- Ability to maintain confidentiality
- Proficient in Microsoft Office Tools (WORD, EXCEL, Outlook)
Qualifications
- Two (2) years of clerical experience, organization, coordination, and performance of duties at a responsible level
- Community college or University graduation preferred (or work experience equivalent)
- Typing skills of 50+ WPM
- Experience working in CPA firm preferred
