Job summary
The Administrative Assistant provides crucial support to Sales leaders by managing meetings, creating presentations, handling travel and expenses, and fulfilling reporting requests. This role is also responsible for improving processes and reporting within Sales Operations.
What you’ll do
Meeting Management:
Schedule and coordinate meetings for the leadership team.
Record accurate and comprehensive notes during meetings.
Summarize the meeting and share action items with the Sales leader.
Set up WebEx/teleconferencing for virtual meetings.
Coordinate logistics for in-person meetings (e.g., location, food, printouts).
Presentation Support:
Compile QBR (Quarterly Business Review), Territory Plan and Mid-Year Review Reports for Sales leaders.
Assist with creating engaging PowerPoint presentations for meetings and customer visits.
Perform research by engaging appropriate stakeholders to gather/validate information for presentations.
Reporting:
Develop and maintain a comprehensive understanding of the available reports and stay updated on new additions.
Serve as subject matter expert and help leaders navigate available reports and reporting resources.
Identify and understand the reporting needs of the sales leader.
Compile and distribute reoccurring reports to satisfy those needs.
Prioritize and execute ad-hoc reporting requests with Sales Analytics.
Travel and Expenses and Time Management:
Book travel arrangements for the Sales leaders.
Process and approve expenses on behalf Sales leaders.
Act as leader’s proxy, managing swipe updates and time off requests.
Event Coordination:
Coordinate logistics for events (e.g., location, food, printouts).
Event set up and clean up.
Schedule monitoring to ensure the event stays on track as the day progresses.
Coordinate team outings and meetings with Sales leaders and partners.
Schedule and collaborate with catering/venue staff, etc. for the event.
Process Improvement:
Collaborate with Sales Analytics to ensure data accuracy.
Explore automated reporting solutions for sales teams.
Business Acumen:
Understand and document the Sales leader’s expectations.
Understand segment goals, Sales performance and attainment (Rev/GP), and initiatives.
Additional Responsibilities:
Assist with Sales leader’s special projects.
Assist with team/department (Sales Operations) projects.
