About the role

Under the general direction of the Program Manager SSAII and C-STEMM, the Pipeline Program Assistant will be supporting the Los Angeles Pediatric Society (LAPS), Saturday Science Academy II, Community STEMM Academy (C-STEMM), and other Pipeline Programs. In addition, the Program Assistant will assist with administrative and clerical support to the Department.

 

Essential Duties and Responsibilities:

  • The Program Assistant performs administrative duties such as: answering phones and emails, filing, and managing schedules, while also supporting SSAII and C-STEMM programs day-to-day operations
  • Assist the Pipeline Programs Coordinator with the LAPS program.
  • Assist with the implementation and teaching of the curriculum.
  • Assist with the preparation of SSAII and C-STEMM weekly supplies
  • Attend all field trips, activities, and community events that directly affect SSAII and other pipeline programs
  • Plan and implement activities that build morale and increase volunteer commitment
  • Maintain a clean, organized, and presentable workspace.
  • Assist Program Coordinator in tracking program supplies that are lent to other individuals and departments.
  • Collaborate with STEMM Instructors to keep Pipeline storage bin clean and organized.
  • Attend, support, and represent Pipeline in efforts to promote SSAII, C-STEMM, LAPS , and other Pipeline Programs.
  • Assist with the collection of outcome data for progress reports, quarterly reports, annual reports, and statistics.
  • Ensure that all the files are compliant and audit-ready per federal, state, and local requirements

 Hourly Rate: $22 - $24 per hour

Other Duties and Responsibilities:

  • Perform other related duties as assigned

Education:

  • Bachelor’s degree from an accredited college or university in a STEM field preferred.

Experience:

  • 2-3 years of general office, administration, and/or clerical experience in higher education
  • Experience facilitating youth-centered programming with experience working with families, schools, and communities with diverse backgrounds
  • Experience in education or higher education preferred.

SKILLS:

  • Knowledge of SPA 6, SPA 8, NGSS. Common Core, and underserved youth
  • Valid CA Driver's License and the ability to drive to off-campus event/meeting venues as needed
  • Superior communication skills (both written and verbal) and relationship-building skills with a diverse range of stakeholders, including youth, community members, and funders.
  • Ability to meet deadlines and work on multiple projects independently
  • A demonstrated ability to work collaboratively, positively, and effectively with others of diverse groups is a must
  • Strong organizational skills with attention to detail
  • Must be able to handle confidential and sensitive materials in a professional manner
  • Proficient in Word, Excel, PowerPoint and Outlook
  • Bilingual preferred

 

TRAVEL:

  • Up to 30 - 50%
  • Must possess a CA valid driver’s license

  • The ability to perform highly detailed work with sustained attention and care while providing/obtaining information on numerous inquiries is paramount to success in this position
