JOB SUMMARY:

The Accounts Receivable Associate is responsible for processing completed invoices and credit card payments as well as compiling data from multiple sources for the purposes of generating management reports. In addition, the role is responsible for providing administrative, research support and clerical services for all internal and external customer accounts regarding the status of invoices and payment processes, in addition to providing support for the factoring services and assisting on a variety of special projects as needed.

 

ESSENTIAL DUTIES & RESPONSIBILITIES (includes other duties as required):

  • Post completed invoice information to the general ledger including posting cash for in-house accounts.
  • Process customer credit card payments.
  • Conduct complex research of system variances and accounts for discrepancies.
  • Develop a thorough understanding of customer accounts, as well as, company processes, capabilities and constraints.
  • Make customer credit hold decisions and recommendations.
  • Make decisions regarding turning over customer accounts to collection agency for remediation.
  • Pull reports from factoring partners, ensure transactions match, research discrepancies and make adjustments as necessary.
  • Prepare weekly deposit including processing write-offs and close-outs.
  • Age weekly accounts receivable and communicate results as assigned.
  • Process sort, format and distribute the daily sales reports.
  • Prepare year-to-year sales comparison report and distribute.
  • Initiate small balance write-offs, customer reconciliations, processing credit memos and debit memos.

 

SKILLS/QUALIFICATIONS/EDUCATION/LICENSES & CERTIFICATIONS:

  • High School Diploma or equivalent combination of education and experience required.
  • Basic knowledge of accounting concepts and practices, 1+ years A/R experience.
  • Strong Microsoft Office applications, data entry, 10-key and customer service skills essential.
  • Written and verbal communication skills to effectively communicate with all levels of personnel.
  • Strong attention to detail and accuracy.
  • Strong critical thinking skills to solve problems and present suggestions to improve process.
  • Strong follow up and follow through skills.
  • Ability to work well both independently and on a team.
  • Must be proactive and demonstrate initiative.
  • Ability to work in a fast-paced environment, great multi-tasking skills.
