THE OPPORTUNITY

Fisher Phillips, an award-winning international employment and labor law firm is seeking a part-time Office Support Specialist to support the firm's San Diego office. In this role, the Office Support Specialist will work in a team-oriented environment, supporting the operations of the Office Services Department and providing first-class clerical and administrative support to all levels of the office. This position requires collaboration with other staff to ensure consistent and high-quality workflow support for the office and the firm. Flexibility in the daily work schedule may be required due to departmental workload. Please note that this position is not eligible for remote work due to its responsibilities.

POSITION RESPONSIBILITIES

  • Perform administrative, general office, clerical, and case related support projects as needed/requested, including but not limited to:
    • Document management: Accurately copy, scan (OCR as needed) print, bind, convert documents to and from various file types, digital file keeping as assigned, and redact and bates label as instructed;
    • Accepting, processing and distributing incoming mail, faxes, hand deliveries of case related documents, and packages;
    • Processing outgoing mail, packages, and service of documents via USPS, FedEx, UPS, and/or legal messengers or couriers;
    • Payment and check receipt, processing and sending under direction of Accounting and/or Attorneys;
    • 3rd Party invoice receipt and assist with processing in Chrome River under direction of attorneys and paralegals;
    • Attorney time entry, entering and tracking expense reimbursements, preparing and editing documents, opening new matters (through InTapp), including conflict requirements under the Firm’s policies, and sending of corresponding engagement letters and litigation hold letters as instructed;
    • Provide back up for general office duties, including but not limited to, greeting clients and visitors, offering beverages, providing parking validation, setting up and maintaining conference rooms for meetings, kitchens, and copy rooms, setting up offices and work areas for new employees, assist with trouble shooting and/or reporting local technology issues and interface with the national IT team as needed on special projects
  • Coordinate off-site records pickups and deliveries
  • Efficiently and accurately file client and firm physical and electronic records as requested, including saving to iManage per the naming protocols set up by the teams
  • Other duties as assigned.
