We’re looking for an experienced Executive Assistant who can act as a trusted execution partner, understanding Executive priorities, maximizing the productivity of their leader and operate with high judgment. You’ll report to Bloom’s Chief Marketing Officer and join a high‑performing, collaborative team committed to delivering best‑in‑class marketing outcomes. This role is based in San Jose, CA. This is a 5 days per week, fully on-site, in office role.

Role and Responsibilities:

CMO Support

  • Manage the CMO’s calendar, ensuring time is prioritized effectively across strategic work, internal meetings, customer engagements, and external events. 
  • Coordinate complex scheduling needs across time zones and with both internal and external stakeholders. 
  • Act as a trusted thought partner to the CMO, anticipating needs and prioritizing requests
  • Assist in the end-to-end planning and execution of events, including scheduling, venue coordination, material preparation, and on-site support as needed.
  • Own the logistics and preparation of meeting materials, agendas, notes, and follow-ups
  • Coordinate logistics for customer meetings, conferences, and events, and assist with the preparation of customer meeting materials
  • Arrange domestic and international travel, ensuring maximum time efficiency and effectiveness
  • Interact with C-level executives and other EA’s to coordinate meetings and other business-critical interactions
  • Manage external visitors and associated agendas
  • Handle business details of a highly confidential and critical nature
  • Resolve time sensitive issues with a high degree of precision and exhibit strong organizational, written, and verbal communication skills
  • Support coordination across departments (like Sales, Product, and Customer Success) to keep marketing in sync with the broader business. 

Financial Management

  • Own invoice processing administration from start to end such as vendor registration, supporting  with PO’s and ensuring invoices are processed in a timely manner.
  • Handle expense management for the CMO, Marketing team and corporate card, including preparing and submitting expense reports and ensuring adherence to company policies. 

Marketing Team and Event Support

  • Provide occasional back-up support for other members of Bloom’s senior leadership team for travel, expenses reports, coordinating key meetings, event registrations data entry, research, and presentation preparation.
  • Assist in the successful execution of field marketing and hospitality programs, managing critical elements such as menu planning, ticket transfers, and comprehensive attendee communications
  • Organize team meetings, meals and team-building events
  • Facilitate clear and concise communication with internal teams and external partners.
  • Maintain meticulous organization of marketing-related documents, contracts, and event timelines to ensure all projects are on track and deliverables are met promptly.
  • Help ensure the marketing team stays informed and connected through regular updates and meeting recaps. 

Skills and Experience

  • Minimum 10 years of Executive Assistance experience supporting C-suite executives, preferably in a Sales/Marketing environment
  • Bachelors, Degree Preferred
  • Can do attitude willing to do what it takes to achieve great outcomes
  • Must be able to multi-task and prioritize workload
