About the role

Description

The Quincy Family Welcome Center (QFWC) is a program operated through Bay State Community Service in coordination with the Massachusetts state Emergency Management and the Executive Office of Housing and Livable Communities (EOHLC). The QFWC is one access point where unhoused families can apply the family shelter system through eligibility and prioritization screening conducted on-site. The QFWC also serves as a connection point for agencies such as the Department of Transitional Assistance (DTA), area community service providers, and more.


The QFWC Administrative Coordinator will directly assist the program manager in general program administration tasks, as well as liaise with internal and external staff and departments to improve the daily administrative operations.


What You Will Be Doing to Make a Difference...

  • Provide general administrative support to Program Director such as typing, copying, scanning, filing, supply requisition, etc.
  • Coordinate with HR and Talent acquisition to fully onboard new FWC staff.
  • Manage and maintain inventory for office supplies and guest consumables (including purchasing), as well as coordinate delivery of supplies between FWC team sites.
  • Ensure program compliance with monthly state reporting requirements requiring knowledge of basic data collection, analysis, and reporting procedures.
  • Assist with program day to day requirements including monitoring workflow tracking, guest intake reporting, and reviewing back-end data for completion of all required data for each guest.
  • Coordinate with the Communications Departments to coordinate special community initiatives and drives, as well as promote family education programs to the community.
  • Maintain calendars of Program and QFWC Team as needed, including staff helpers, volunteers, and external service providers.
  • Treat all service recipients with dignity, respect and understanding; promotes agency culture of learning and respect to others; maintains a positive work environment.
  • Maintain strict confidentiality, including family guests’ confidential information.
  • May schedule appointments for program manager.

Requirements

Qualifications

  • Minimum two-year office administrative support experience is preferred.
  • Some college or professional training preferred.
  • Excellent organizational skills (verbal and written) and the ability to excel at details, multi-tasking and working in a fast-paced, multi-faceted environment.
  • Respectful communication skills.
  • Excellent computer skill in the use of software programs such as MS Word, Outlook, PowerPoint, Teams, and especially Excel. 
  • Speaking a relevant second language is a plus.
