Administrative Assistant II -Ballard - Homeless & Housing (1.0 FTE)

About the role

Purpose

The Homeless & Housing Programs Administrative Assistant provides administrative and project management support for Neighborcare Health’s Housing & Street Outreach programs (HHOT) and clinics (Ballard, Youth Clinic) in alignment with our service commitments – a warm welcome, respect, working together, trusting relationships and caring – grounded in our core values of social justice and community. This position works in partnership with Homeless & Housing Leads, including Clinic Administrators, Site Medical Directors, and RN & BH Supervisors, and reports to the Homeless & Housing Programs Manager. Primarily operating out of the Ballard clinic, they will serve as the main clinic contact for daily operations for the Ballard Clinic. They will have contact with clinical staff in the programs and clinics, and may also have contact with patients.

**This position is 100% grant funded through December 31, 2027**

Primary Responsibilities

  • Project management support
  • Budget management support in partnership with H&H Leads
  • Patient transportation systems management (Lyft, bus tickets)
  • Schedule meetings - internal & external
  • Draft meeting agendas
  • IT equipment management
  • Liaise with external partners about facilities issues 
  • Liaise with Ballard clinic staff, especially Leads,
  • Support with new staff onboarding to Neighborcare systems, such as Outlook, employee reimbursement, UltiPro, phone setup, etc.
  • Support with reporting, data, huddle boards in partnership with H&H Leads
  • Liaise with internal departments on behalf of H&H Programs, such as Marketing & Communications, Facilities and IT
  • Order and stock office supplies
  • Recruit, train and oversee volunteers
  • Organize coverage for front desk staff to cover PTO/leave/vacancy
  • Staff schedule management in partnership with H&H Leads
  • Support CAs and Homeless Program Manager with development of downtime tasks for front desk staff

Key Skills, Knowledge, & Abilities

  • Customer service experience
  • Extremely detail-oriented and organized
  • Strong proficiency with Microsoft Office (Word, Excel, Outlook, etc.)
  • Experience working in a multi-cultural, diverse environment
  • Awareness, knowledge and appreciation of the health and socioeconomic needs of a low-income, underserved population
  • Ability to communicate effectively with people of varied racial, educational and socio-economic backgrounds
  • Demonstrated ability to provide effective and efficient administrative support and manage multiple priorities
  • Experience with community health
  • Experience working with people experiencing homelessness, substance use disorders, and mental health disorders 
  • Working knowledge of electronic health records (EHRs) and practice management systems. 
  • Basic or limited familiarity with medical terminology.
  • High degree of adaptability, productivity, and reliability as well as an ability to work independently.
  • Ability to learn new processes, procedures, and software programs quickly, while demonstrating attention to detail and accuracy in their daily work. 
  • Be positive, open-minded, and focused on continuous improvement.

Education

Required:

Associate’s degree OR equivalent education and experience in community health, project management, business or clinical operations

Years of Relevant Experience Required: 2 - 3 years healthcare administration
