The Operations Coordinator is a critical member of the Office of Admission, responsible for ensuring the smooth and efficient operation of the admissions. This role involves a combination of administrative, operational, and data management tasks that support the recruitment and enrollment of students. The Operations Coordinator is responsible for data entry for any applications to the University, including graduate and undergraduate applications. The Operations Coordinator will work diligently to ensure that the units within Admissions are supported in a timely and effective way and play a key role in identifying potential issues and inefficiencies that impact internal units, customers, and university constituents.Reporting to the Director of Enrollment Management Operations, the Operations Coordinator must be a team player and be able and willing to handle multiple tasks. The Operations Coordinator must have strong communication and administrative skills and be comfortable using technology for basic clerical tasks. Familiarity with Slate CRM or other records based platform is preferred.
Essential Duties & Responsibilities
Perform general office tasks and obtain an understanding of basic student service requirements in financial aid, student records and billing services.
Maintain accurate and up-to-date student records and application data within the admissions CRM and student information systems.
Perform data entry for all units within admissions including but not limited to, applications, application change requests, transcript entry and application related questions.
Able to understand and perform dataset uploads using field mappings
Responsible for scanning and indexing documents.
Coordinate and execute the importing of prospect data from multiple vendor sources ensuring data integrity and data validity.
Contribute to identifying opportunities to streamline and improve admissions processes.
Support the development and implementation of new procedures and workflows to enhance efficiency; use available resources effectively and appropriately to deliver superior student service
Collaborate with colleagues to identify and resolve operational challenges; notify supervisor of anticipated issues
Adhere to university policies and FERPA guidelines regarding billing, financial assistance, and student records.
Perform other duties as assigned.
Minimum Qualifications
Required
High School Diploma or GED.
One to three years of experience in an office environment.
Basic computer skills and technical knowledge (email, word processing, mail merging, and spreadsheet, internet and basic database navigation).
Demonstrated ability to manage time and ability to work independently and in a collaborative environment and value the diversity of the students and employees served and supported.
Excellent attention to detail and accuracy with the ability to multitask in a fast-paced and deadline driven environment
Must be in good standing in all Federal Title IV programs.
Preferred
Candidates with an Associate's degree or higher in Computer Information Systems (CIS) or Management Information Systems (MIS) will have a strong foundation for this role, but individuals with other relevant degrees and strong technical skills are encouraged to apply.
Experience working within a Higher Education environment.
Competency in data management and analysis.
Experience with CRM systems, preferably Slate.
Prior knowledge of Slate CRM Upload Dataset functionality
Physical Requirements and/or Unusual Work Hours
Must be able to read electronic documents via computer screen for extended periods of time.
Possibility of some nights and/or weekends in support of larger recruiting events as needed.
