Position Summary:
In close collaboration and under the supervision of the Dean, the Director, Administration and Finance, is responsible for the overall administration of the Faculty of Dental Medicine and Oral Health Sciences' core operational areas including security, budget, finance, capital project, IT, human resources, and academic affairs. The Director, Administration and Finance, will follow and ensure the success of the faculty’s strategic plans and, in collaboration with the administrative, academic and research units, will ensure that the faculty mission in the areas of education, research and community services reach a level of excellence.
During this mandate (one year), the Director, Administration and Finance, will advise the academic leadership team on McGill related policies and will ensure that processes are in place and followed, as recommended by IT Assessment & Review (ITAR). The Director, Administration and Finance, should ensure that self-finance programs are generating revenue to cover their related costs, and that faculty will respond to the audit requirements. As one of the faculty’s main priorities, the Director, Administration and Finance, should embrace and encourage the principles of equity, diversity and inclusion (EDI) and promote this throughout the different levels of their work. The Director, Administration and Finance, will have a good understanding of the university and affiliated hospitals, particularly in regard to their policies, unions, and the administration of dental clinics.
Primary Responsibilities:
Demonstrate a strong sense of belonging to the faculty. Promote and uphold the faculty within the University.
Promote principles of equity, diversity, and inclusion (EDI) and a healthy work environment for both academic and administrative members.
Promote and maintain a strong culture of teamwork amongst academic and administrative faculty members.
Work closely and transparently with the Dean, ensuring that the Dean is well informed about faculty operations and all matters pertaining to the faculty.
Provide full end-to-end support surrounding the creation, promotion, and maintenance of the faculty’s strategic plans (2021-2026) and strategic initiatives.
Work towards sustainable operations through assisting in restructuring the faculty’s organizational structure.
Manage and direct the work of administrative and support staff to ensure efficient workflow processes. Review, recommend, and implement changes to ensure maximum efficiency.
Recommend strategies and initiatives to the Dean that will enhance overall financial and administrative performance, ensuring that constrained resources are allocated to the highest academic priorities.
Develop action plans. Evaluate the financial and staffing impacts of new plans and initiatives, including required investments and expected net benefits.
Oversee reporting and monitoring of organizational performance metrics. Provide analytics and make recommendations.
Oversee the space and building resources of the faculty, including the main faculty building (2001 McGill College), and other clinics and buildings within Montreal (various external clinics, MGH, JGH, MCH, James Lund Clinic).
Oversee the performance of functioning units to ensure operations are delivered appropriately, adhering to McGill policies in managing performance issues to foster high-performing and effective teams.
Oversee financial planning and budgeting functions for the faculty, including developing the operating budget, establishing financial controls, and monitoring financial performance, as well as all meeting internal and external auditing requirements.
Provide financial leadership by managing faculty funds and the organizational budgeting process. Prepare reports and analyze financial status to ensure a balanced non-deficit budget at the end of the fiscal year.
