Job Details:

Purpose

To serve as a graduate coordinator providing master's and doctoral students in the Department of Computer Science with the supports needed to make timely progress to degree completion. To facilitate the execution of programs and services on behalf of the Graduate Office in keeping with the department's academic mission.

Responsibilities

  • Basic Functions: Co-facilitates the daily operations of the Graduate Office with graduate program administrator. Develops, administers, and explores new models of effective delivery of programs and services for CS graduate students, responsible for co-coordinating phases of graduate program activities with graduate program administrator. Serves as primary point of contact for a caseload of graduate students; Provides in-depth information, clarification and interpretation of institutional and graduate program rules and regulations. Represents the graduate program to the Office of Graduate Studies and the college. Responsible for ensuring compliance with institutional rules, regulations and procedures.
  • Administrative: Maintains tracking system to assess and evaluate graduate program effectiveness, student retention, grade point averages, academic outcomes; uses data to effectively improve performance of graduate advising and program activities. Informs faculty regarding graduate student progress. Responsible for graduate course seat enrollment management and assists students with registration process. Prepares and distributes bi-weekly newsletter with information about graduate fellowships and scholarships and/or other important information and academic deadlines.  Works with Assistant Director for Programming and Planning with TA/AI assignments on a semester basis to ensure that students are properly assigned and qualified for employment. Tracks graduate student funding/employment. Assists Assistant Director for Prog. and Planning with institutional assessments (TracDat) as it relates to the graduate programs. Responsible for administrative support/budget tracking for graduate student organizations.
  • Admissions: Supports the faculty committees and graduate program administrator on PhD and master's student recruitment and admissions process. Serves as the primary point of contact for master's and 5 year BS/MS faculty admission committees. Prepares and mails out acceptance/denial letters and program literature for master's program.  Responsible for on-boarding of newly admitted master's and 5 year BS/MS students. 
  • Event Planning: Co-Coordinates event planning for prospective/admitted student campus visit events (GradFest); organizes and attends the departmental PhD graduation event. Co-facilitates PhD and master's student orientation.  Organizes training each year for new officers for graduate student organizations.
  • Additional Duties: Attend graduate events and functions after hours or on weekends as needed to provide support and oversight. Other related functions and duties as assigned.

Required Qualifications

Bachelor's degree or equivalent. Five years of experience working as a graduate coordinator with college students in an administrative or advising capacity. Outstanding customer service skills; proven ability to work with a variety of populations successfully. Documented ability to collaborate successfully and to work independently. Proven ability to be flexible and responsive in times of high stress. Demonstrated ability to organize and manage a large volume of data with a high level of attention to detail and accuracy. Established history of superior attendance and punctuality in the workplace.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Master’s degree in counseling, educational administration or related field. Knowledge of computer science curriculum. Experience developing and implementing new initiatives for graduate student recruitment and grad placement. Prior experience with event planning. Experience with assessment, measurement and reporting systems, EASI system and define applications (NRRECS, GSDAMIN). Extensive knowledge of Microsoft Office.
