Job Description

The Office Coordinator will play a vital role in ensuring the office runs smoothly and efficiently on a daily basis. This position is responsible for maintaining a clean, organized, and welcoming workspace while serving as the on-site point person for all administrative and office-related needs. From ordering supplies and coordinating maintenance requests to planning events and scheduling meetings, the Office Coordinator is the go-to resource for creating a productive and positive office environment.

This is a full-time, five-days-a-week position. You’ll be expected to work on-site Tuesdays, Wednesdays, and Thursdays, with the option to work remotely on Mondays and Fridays. There should be flexibility to come into the office on Mondays and Fridays as needed.

In this role, you will:

  • Act as point of contact for office building, property management company, and facility-related vendors (electrical, painting, water cooler, handyman services, etc.)
  • Maintain office tidiness, including kitchen and fridge cleanup, plant watering, recycling removal, and general organization of supply closets and drawers
  • Plan and execute in-office and external company events including coordination, scheduling, catering, and management
  • Support A/V setup and facilitation for company-wide meetings, board meetings, etc. 
  • Own full lifecycle of office expansion projects, including contractor management, vendor communication, planning and design, etc. 
  • Support new hire orientation and employee onboarding, including but not limited to scheduling meetings, ordering equipment, coordinating travel logistics, etc.
  • Assist with scheduling in-office interviews and greeting candidates to ensure a positive candidate experience and smooth interview process
  • Purchase, unpack, and organize office supplies, furniture, computer equipment, snacks, and other necessary materials for the office
  • Manage incoming and outgoing shipping and mailing for all departments, including both domestic and international shipments
  • Support Executive Operations Manager with ad-hoc scheduling needs and event logistics
  • Coordinate announcements and encourage celebrations of birthdays and work anniversaries
  • Assist departments with apparel orders in NetSuite ERP when necessary  

Qualifications

  • 2+ years experience in office management, project coordination, executive administration, or similar
  • Project management experience strongly preferred; certification is a plus
  • Prior experience with office expansion or site planning in an office environment is a plus
  • Expert knowledge of Google Suite (Drive, Docs, Sheets, Slides), Slack, and Zoom
  • Working knowledge of NetSuite or similar ERP system is a plus
  • Exceptional communication skills with the ability to escalate appropriately and accordingly
  • Friendly, upbeat, and maintains positive attitude with employees, customers, and stakeholders
  • High level of trust and confidentiality 
  • Has own mode of transportation with comfort running errands related to the job
