POSITION SUMMARY:
The Office Administrator supports the site in several capacities, including but not limited to facilities and equipment support, shipping and receiving support, and administrative duties. To successfully excel in this role, attention to detail, organization, and time management are very important.
RESPONSIBILITIES:
Administrative Tasks:
- Maintain physical inventory lists
- Locate and purchase materials to support builds as needed
- Expedite purchase orders and materials
- Support DE (Design Engineering) and PM (Program Manager)
- Support program costing activity
Facilities/ Equipment Support:
- Support calibration and equipment maintenance in planning and scheduling engineering daily tasks, including predictive, corrective, preventative, condition based and continuous improvement maintenance
- Track movement of equipment through repair process to make certain materials return in a timely manner
- Coordinate lab rental equipment
- Work with Accounting for PO/invoice support
- Manage the day-to-day support activities including administration and stock control
Shipping/Receiving Support:
- Prepare Domestic and International shipments
- Maintain international compliance of shipments
- Resolve shipping issues and customs regulations concerns
- Monitor shipments for delays
WORK ENVIRONMENT:
- Location: Eden Prairie, MN
- Environment: Standard office environment; ability to lift up to 40 pounds
QUALIFICATIONS:
- Excellent Communication skills, both verbal and written
- Basic Math / Algebra skills
- Demonstrated proficiency with Windows-based platforms and with computer-based tools, including working knowledge of Database, Spreadsheet, and Word Processing software
- Ability to multitask and work to strict deadlines within a fast-paced environment
EXPERIENCE:
Essential:
- Ability to remain organized in a fast-paced environment
- Embrace new technology and demonstrate an understanding of computer based systems/equipment.
- Proven track record of success and growth in positions of increasing responsibility
- Experience working in a team and group setting
Desirable:
- At least 1 year of experience administrative support, or any related experience
- Knowledge of planning tools, software or CMMS systems
EDUCATION:
- Associate’s Degree or equivalent work experience desired
COMPENSATION:
As required by multiple state pay transparency laws, Advanced Energy provides a reasonable range of compensation for each job posting. Actual compensation is influenced by an array of factors including, but not limited to, skill set, level of experience, and specific office location. The range of starting pay for this role is $ to $ per year.
