Job Description:
The HPE Global Communications organization is looking for an experienced Executive Assistant to support the Chief Communications Officer and the Global Corporate Communications team. The Chief Communications Officer directly reports to the company’s President and Chief Executive Officer. The Executive Assistant role is a crucial role for the Chief Communications Officer and will interact with the Executive Committee of the company and their Executive Assistants. The Executive Assistant will support the entire Global Corporate Communications organization as the department interacts with a variety of partners across the company including Marketing, Legal, HR, Finance and Business leaders and teams and with external stakeholders including media, industry analysts, outside agency partners, customers and influencers. The Global Corporate Communications environment is a fast-paced, multi-disciplinary, fluid environment.
This is a US based, hybrid position, to be located in our San Jose, CA office.
Responsibilities:
- Perform tactical and strategic administrative support tasks for the Chief Communications Officer and executive level leaders of the organization.
- Plan, schedule and coordinate meetings, teleconferences, videoconferences and virtual classroom sessions.
- Establish and maintain SharePoint sites and team calendars.
- Prepare presentations using web-based applications and Microsoft Office tools.
- Assist with travel planning, expense tracking and reporting.
- Manage complex calendars, travel arrangements, budget details and more for executives.
- Represent the Global Communications executives and organization in a positive and professional manner to internal and external parties.
- Advanced general administrative skills/knowledge required at an upper executive level.
- Usually works with multiple issues/projects and has the experience/ability to support multiple project administrative requirements.
- Regarded as the key administrative employee of the division and is a primary administrative employee in the company.
- Specific advanced software skills as required by the division.
- Work on assignments that are extremely complex in nature where a high degree of independent judgment, initiative and technical knowledge are required to resolve problems. Work is completed independently and has ability to handle most unique situations. Frequently determines methods and procedures for new assignments.
- Consult and provide solutions for the team to collaborate and integrate across the various communications domains. Assist the Chief Communications Officer with maintaining a deliberate cadence of communication and interaction with the communications team and critical partners.
Requirements:
- Typically requires a minimum of 10+ years general administrative experience, or equivalent combination of experience and college level education.
- Advanced general administrative skills/knowledge required at an upper executive level. Prefer individual has experience supporting a senior executive.
- Exceptional organizational skills; this role requires orchestrating many diverse elements and a critical attention to deadlines and timing.
- Capable of performing complex assignments with minimal supervision.
- Has experience successfully working multiple issues/projects simultaneously.
- Superior listening and interpersonal skills.
- Strong proficiencies with Office, including Outlook, Word, Excel, PowerPoint and SharePoint.
- Operates as an agile self-starter; able to work independently to manage diverse workload and coordinate with multiple team members.
- Experience submitting purchase orders and statements of work.
- Proven experience with handling confidential information with integrity.
