Job Description:Human Resources

ePAF level 1 approver for assigned salary plans. Responsible for monitoring, reviewing, and approving transactions submitted in myUFL while monitoring procedures and compliance with UF, state, and federal regulations.

Processes HR transactions in myUFL by preparing and reviewing the submission of the transactions, including job postings, hires, position updates, special pay increases, terminations, leave cash outs, additional pay, etc.

Coordinate the recruitment process, including drafting job postings, scheduling interviews, and preparing interview materials.

Assist with onboarding new employees, including preparing orientation packets and coordinating training sessions.

Maintain and update employee records, ensuring data accuracy and compliance with university policies.

Process personnel action forms, leave requests, and other HR-related documentation promptly and accurately.

Assist the college with the implementation and administration of HR programs and initiatives, such as employee recognition programs and training workshops.

Support the organization and execution of HR-related events, including career fairs, training sessions, and employee appreciation events.
Finance
-
Assist with the preparation and monitoring of unit budgets, including tracking expenditures and reconciling accounts.

Process financial transactions such as purchase orders, travel authorizations, reimbursements, and invoice payments in UFGO in accordance with university guidelines.

Maintain financial records and documentation, ensuring all files are up-to-date and audit ready.

Prepare financial reports and summaries for departmental review, highlighting variances and potential issues.
Departmental Support

Physically works in other departments when needs arise due to staff fluctuations. Provides Academic Support, Payroll Support, Human Resources, Fiscal, and Commitment Accounting support for the unit.

Maintains effective relationships with college dean’s office, university core offices (UFHR, Student Employment, Graduate School, Payroll, etc.), as well as units served by the SSC.

Attend college and university meetings for management personnel to ensure the unit’s understanding of, and compliance with, rules and regulations (as needed).

Responsible for providing or arranging training for assigned staff members and SSC partner liaisons in HR and Fiscal transactions.

Provides additional one-on-one training to staff, ensuring a complete understanding of the current guidelines.
Academic Support
-
Provides support to the assigned unit’s undergraduate and graduate programs by organizing and administering student affairs.

Responsible for scheduling rooms and equipment for graduate oral exams.

Prepares and submits undergraduate and graduate course scheduling for assigned departments.

Coordinates with other departments/units for cross-listing of courses.

Assist graduate and undergraduate students registering for classes.

Manages department-controlled courses. Answers inquiries on class availability, waiting lists, credit-hour requirements, etc.

Monitors undergraduate and graduate student progress through program and determines whether program or graduation requirements have been met.

Submits change of grade forms for undergraduate and graduate students in assigned departments.
