The Western Hemisphere Department (WHD) is looking for a motivated and skillful Administrative Coordinator /Senior Administrative Coordinator to support the administrative and organizational work in the Southern II. The division covers Argentina, Bolivia, Chile, and Venezuela---a mix of high-intense program/surveillance and fragile economies with a fluid work program. The Administrative Coordinator will play a pivotal role in providing support to the division’s staff under the guidance of the Division Chief and the Deputy Division Chiefs; and will work closely with the other coordinator.
The responsibilities will include:
- Work flow management: Monitor the busy work agenda, action items, and shifting priorities and ensure deadlines are met.
- Document management: As prime responsible, support two country teams (including Argentina) in preparing documents through the annual cycle (e.g., memos to management, policy notes and staff reports, Board meetings), and support other country teams as needed.
- Logistical support: Provide administrative and logistics support for authorities’ visits, missions, seminars and other events. Prepare expense reports for mission chiefs.
- Other: Support division members with all other administrative processes. Help with divisional activities to foster team building and cohesion. As part of WHD’s back-up system, occasionally provide support to Southern I and Southern III Divisions.
The Administrative Coordinator will also have opportunities to contribute to WHD-wide projects and initiatives.
Given the fluidity of the work agenda for some of the countries covered in the Southern II Division, flexibility in working hours and availability for occasional overtime at short notice is expected.
Qualifications
The position requires initiative, sound judgment, excellent organizational and communication skills, and knowledge and experience with the Fund's administrative procedures, practices and policies. In particular, the selected candidate should meet the following qualifications to thrive in this role.
- Educational and professional experience: High school diploma or equivalent, supplemented by a minimum of six years of relevant experience, is required. Previous area department experience at the IMF, though not essential, would be preferred.
- Technical proficiency: Thorough knowledge of Fund practices and procedures. Proficiency in MS Teams, Outlook, Word, Excel, PowerPoint, and knowledge of Fund applications such as HRPROD, FINPROD, DM5, TIMS and TRACES;
- Administrative skills: Strong administrative, technological, and organizational capabilities. Ability to work accurately under pressure, multitask.
- Language skills: Proficiency in English, including ability to proofread and edit documents. Spanish will be considered a strong plus.
- Organizational skills: Strong ability to organize and prioritize work, be proactive, meet deadlines, work effectively under pressure and with minimum supervision.
- Interpersonal skills: A cooperative attitude, strong interpersonal and relationship-building skills, and ability to work as part of a team.
