We have an opening for an experienced Administrative Assistant in Seattle. Proficiency in MS Office with strong skills in word processing (MS Word), spreadsheet (Excel), and presentation (Power Point) functions and features is required. Familiarity with scientific citation formats and bibliographic management software (for example, EndNote) is a plus, as are editing skills. It is essential for the successful candidate to be fearless about learning new software tools and able to interact with colleagues around the US and the world.

- 3+ years of administrative professional experience required
- Professional, proactive, resourceful, service-oriented style
- Expertise in MS Office and PDF editing software (e.g., Adobe Acrobat Professional, AcroPlot Suite), including but not limited to Word styles, formatting and templates, and comfort in learning new software applications
- Ability to stay organized and manage competing priorities
- Excellent oral and written communication skills
- Professional and independent judgment surrounding internal and external client matters and communications
- Ease in working with diverse personalities and cultures, with flexible and active listening skills
- Detail-oriented
- Experience in a professional services/consulting environment preferred
- Demonstrated skill in proofreading and editing of technical and scientific writing preferred
Tasks and Responsibilities
- Assisting the Office Director with office administration, equipment and facilities management
- Preparing scientific and technical reports, manuscripts, and proposals using templates, and including web-based researching, word processing, formatting, and preparing bibliographies
- Using corporate systems to manage travel arrangements
- Maintaining electronic and paper filing systems, including implementing document control and retention policies
- Monitoring and ordering supplies
- Processing vendor invoices for payment
- Interacting with IT support to solve equipment and software problems
- Setting up laptops and monitors for staff and new hires
- Operating video conferencing equipment
- Planning and preparing for meetings and social events
- Other duties as assigned
