JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Smeal College of Business is seeking an Administrative Assistant to join our team. You will work with a dynamic and integrated team serving as a main customer service representative for the Research, Instruction and Information Technology (RIIT) Group's Facilities and Events Team. The RIIT Group provides comprehensive IT, facilities, audio visual, and events support for all faculty, staff, students and visitors to the Business Building. The Business Building is a 210,000 square foot building housing approximately 375 offices, 29 classrooms and labs, 17 conference rooms, a restaurant, and multiple indoor and outdoor events spaces.
Primary job responsibilities include administrative and budget support for the RIIT Group, Facilities eLearning Design Innovation Group and Constituent Relationship Management teams within the Smeal College of Business such as purchasing, travel arrangements and reimbursements, scheduling meetings, and assisting team with events planning and support. Oversee operation of the building's mail room and faculty/staff lounge. Assist with distribution and management of keys and parking permits for Smeal employees. Serve as a contact with the Office of Physical Plant Service Desk, reporting urgent maintenance issues and following up with trades to confirm resolution of issues. Answer phones and greet customers, providing first line of response to troubleshoot and resolve faculty, staff and student technology problems, referring complex issues to the appropriate area of expertise within Smeal or elsewhere on Campus as appropriate.
The successful candidate must be highly motivated and exhibit a high level of professionalism, be able to independently manage multiple priorities, have excellent written and oral communication and interpersonal skills, and have the ability to manage confidential and highly sensitive information. Minimum Education: High School Diploma/GED or Vocational Training/Degree; Minimum Experience : 2+ years of relevant experience.
