About the role

Overall purpose of role – Leads the planning, strategy, and execution of the organization’s domestic and international corporate events and meetings. This includes overseeing event design, logistics, vendor relations, contract negotiations, and ensuring alignment with organizational goals. The Manager will provide leadership within the events function, serving as a key point of contact for stakeholders and ensuring high-quality experiences that reinforce the organization’s brand and objectives.

Reports to - Regional Director, Americas

Main duties

 Event Strategy & Planning

  • Lead and take ownership of all aspects of event planning, design and production while projects are delivered on time, within scope, and on budget.
  • Meet with event stakeholders to gain an understanding of the event's purpose and goals
  • Scout, evaluate and recommend event venues, as needed
  • Collaborate with global team members in planning and execution of international events.

Vendor & Sponsor Management

  • Oversee vendor sourcing, bid evaluation, and selection to determine best fits for the budget and goals of the event
  • Negotiate, manage, and monitor vendor contracts, ensuring delivery and compliance.
  • Oversee and coordinate all onsite sponsor activities to ensure seamless execution, brand visibility, and positive engagement with event attendees.

Event Logistics & Operations

  • Coordinate event logistics and services, including technology and equipment needed to run the event, food, drinks, transportation, lodging, and more
  • Oversee ordering and shipping of event materials, including banners, badges, speaker gifts, and other supplies.
  • On-site Event Support and Additional Duties: attend in-person events to provide logistical support and manage on-site operations as needed.
  • Provide support for general and member-specific registration inquiries.
  • Verify registration against hotel bookings to ensure accurate reservations.
  • Ensure production and accuracy of event materials such as badges, signage, and table tents.

Compliance, Budget & Reporting

  • Ensure compliance with insurance, legal, health and safety obligations.
  • Manage the budget, track expenses and ensure event stays within guidelines; ensure timely vendor payments.
  • Provide timely updates, reporting, and post-event analysis to leadership and stakeholders.
  • Conduct pre- and post- event evaluations and report on outcomes

Innovation & Continuous Improvement

  • Propose ideas to improve provided services and event quality.
  • Partner with marketing and PR to promote and publicize events effectively.
  • Anticipate, troubleshoot, and resolve issues during event planning and execution.
  • Perform other related duties as assigned to support the success of programs and enhance member satisfaction.

Education and Experience

  • Bachelor’s degree in event management, hospitality, marketing or related field preferred, or equivalent experience
  • 5+ years proven Corporate Event Planner experience
  • Demonstrated expertise in project management and budget oversight
  • Experience with membership organizations or professional associations strongly preferred

Position type and expected hours of work

This is a full-time position. Will require overtime and non-traditional work hours to connect with team members in other time zones around the globe, and to attend events and meetings. This position occasionally requires long hours, weekend work and travel.

Travel

Domestic and occasional international travel with overnight stays to attend events is required and estimated to at 15 - 25%. Travel may include use of personal vehicle, train, airplane, ride share or taxi.
