The Department of Health and Human Services is seeking a motivated individual to join our Children and Family Services (CFS) Central Registry and fill the role of an Office Specialist. What We’re Looking For

We are looking for a motivated, reliable, and detail-oriented professional who:

  • Has experience in administrative support roles, particularly in environments that handle confidential or legal information
  • Brings strong computer skills, especially in Microsoft Outlook, Word, Excel, and database systems
  • Understands the importance of accuracy, consistency, and confidentiality in handling sensitive records
  • Ability to work independently and within a team
  • Maintains dependable attendance and can work Monday–Friday, 8:00 AM to 5:00 PM without issue
  • Ideally has experience in child welfare, human services, legal support, or a similar field
  • Self-motivated to meet goals and deadlines, and minimal errors in work

Duties and Responsibilities

  • Process Central Registry background checks in accordance with agency policies and procedures
  • Respond to inquiries via phone and email regarding the Central Registry portal and background check process
  • Review and update personal records, including processing name changes in the database based on legal documents such as court orders
  • Print and mail official correspondence related to Central Registry results and notifications
  • Compile and extract data from internal systems for reports, file requests, and program tracking
  • Maintain accurate and organized records to support program documentation and compliance
  • Provide administrative support to Central Registry program staff and leadership as needed
  • Ensure confidentiality of sensitive information in all communications and recordkeeping
  • Follow established protocols and timelines for processing requests and delivering results
  • Support continuous improvement efforts by identifying process enhancements or workflow improvements.


 

Requirements / Qualifications

Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

Preferred Qualifications

  • 2+ years of experience in an office setting, especially handling confidential or sensitive information
  • Strong customer service skills
  • Experience processing background checks, legal paperwork, or working in a regulated environment
  • Strong skills in Microsoft Outlook, Word, and Excel
  • Experience using databases or case management systems
  • Experience in child welfare, human services, or legal support is a plus
