The Executive Assistant’s primary purpose is to provide comprehensive administrative support to executives and staff, ensuring smooth operations, effective communication, and successful execution of tasks within the executive office and the organization as a whole. This dynamic role involves a wide range of tasks, from managing executive calendars and communications to handling general administrative responsibilities.

Main Duties

  • Executive calendar management, scheduling and coordinating appointments, meetings, and travel arrangements for execs while prioritizing to optimize efficiency and productivity.
  • Communication management, acting as primary point of contact for exec team and internal/external stakeholders; handling calls, emails, and correspondence when appropriate; drafting, editing and proofreading documents, presentations, and reports; facilitate effective communication and collaboration within the executive team.
  • Information management, organizing and maintaining files, records, and documentation, ensuring accuracy and accessibility; conducting research and compiling data to support decision-making and business initiatives.
  • Meeting coordination, preparing agenda, attending meetings, taking accurate minutes; coordinating logistics for meetings, conferences, and events, both on and off-site.
  • Travel arrangements, domestic and international, including flights, accommodations, transportation; passport and visa processing as-needed.
  • Administrative support such as expense reports, invoice processing, shipping, and placing orders as-needed.
  • Project assistance in the planning, execution, and follow-up of various projects and initiatives; collaborating with other departments to ensure seamless coordination.
  • Employee engagement assistance in the planning, execution, and follow-up of various employee events and initiatives.
  • Problem solving, anticipating potential issues and proactively addressing challenges; providing solutions and support to resolve problems in a timely manner.
  • Other projects/duties as assigned.

Preferred Skills

  • Technical proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint, and Teams. Familiarity with Workday a plus. Ability to learn new programs quickly.
  • Proven ability to work within a diverse team-oriented environment with effective communication with all members of team internally and externally to assure workflow is effective and efficient.
  • Ability to create presentations, write reports, and manage correspondence. Ability to speak effectively before groups of exec and employees of organization.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Capability to work in a fast-paced environment and to adapt to frequent change.
  • Proven ability to work creatively and analytically in a problem-solving environment.
  • Must maintain high level of confidentiality and professionalism.
  • Have a positive, approachable, and customer service focused attitude. 
  • Be a motivated self-starter who can work independently with strong multi-tasking abilities.   

Education and Qualifications

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an executive/administrative assistant or in a similar role.
