JOB SUMMARY
The Scheduling Coordinator will serve as the facilitator for all scheduling-related duties for MIND 24-7 clinic team members. This includes coordinating planned time off, call outs, and shift swaps for a large volume of staff. The Scheduling Coordinator will work as part of the Scheduling Department Team and will leverage various tools and resources to develop and maintain the staff schedules to provide a successful experience for our patients.
ESSENTIAL JOB FUNCTIONS
- Responsibilities of the TMSC include:
- Develop and manage work schedules several weeks in advance to ensure effective coverage of all shifts across all clinics
- Manage the filling of all open shifts in the schedule by communicating with team members
- Promptly answer of all phone calls and respond to e-mails from the clinic staff regarding schedules
- Track all call outs and time-off requests and assess need for shift coverage
- Quickly respond to any call outs and contact available staff to fill the shifts
- Monitor team members approaching overtime to stay within the staffing budgets
- Assess staffing levels at all sites and reassigning team members as deemed necessary based on business needs
- Collaborate with all clinic staff and leadership teams to ensure business needs are being met
- Work closely with staffing agencies to fill any open shifts, as necessary
- Train and support team members on the scheduling functions as needed
- Additional responsibilities may be added as deemed necessary by the Department
- Support administrative duties assigned by Assistant General Manager and General Manager
POSITION QUALIFICATIONS
Minimum Qualifications:
- High School Diploma or Equivalent
- At least 2 years' work experience in staffing, scheduling or similar role
- Strong written and verbal communication skills
- Active listening and comprehension skills
- A successful team player
- Displays professional telephone etiquette and ability to use advanced phone systems.
- Keen attention to detail, especially involving checking forms and documents for proper information
- Working knowledge of UKG Advanced Scheduling or similar software
- Proficient in customer service
