Position Summary
Hours: 8:30 AM - 5:00 PM EST
Location: Doral, FL office
This position will require being Onsite for the first 90 days during training and transitions to Hybrid (2-3 days onsite) upon manager approval.
The HR Onboarding Coordinator is responsible for ensuring a seamless and engaging onboarding experience for all new hires. This role involves managing administrative, compliance, and system-related onboarding tasks to facilitate a smooth transition for new employees. This role is responsible for ensuring the timely execution and completion of a seamless workflow for each new employee, from system setup to compliance training for outsourced hires. The Human Resources Onboarding Coordinator will work closely with various departments and Human Resources leadership to guarantee all onboarding activities are completed accurately and on time. This position will operate within the scope of responsibilities outlined below, with guidance and support from the Human Resources leadership team.
Essential Functions
- Receives and acknowledges new hire notifications from the Talent Acquisition team, initiating the onboarding process.
- Enters employee information into the Employee Verification (EV) system and HRIS, ensuring accurate profiles with all required personal, job, and employment details.
- Submits IT tickets to request equipment, system access, and email credentials to ensure technical resources are ready before the new hire’s start date.
- Assists in verifying the completion of onboarding tasks, including I-9 documentation, employment contracts, and compliance forms, ensuring accuracy and adherence to company and legal standards.
- Sends personalized welcome emails containing key details such as reporting instructions, dress codes, and HR contact information to set a positive tone for new employees.
- Monitors progress on compliance training and ensures all required modules are completed on time.
- Maintains up-to-date and organized records of onboarding activities in HRIS, ensuring payroll activation and seamless integration into the company.
- Collaborate with outsourced vendors to maintain data accuracy and streamline onboarding processes.
- Gather necessary information (e.g., intake forms, associate details, start dates) from the TA team and department directors to formally request additional offshore resources.
- Ensure compliance training is assigned, completed, and documented for outsourced hires.
- Submit IT tickets and set up user accounts for outsourced hires.
- Send initial credentials for email and Paylocity access, enabling completion of compliance training from offshore talent.
- Monitor compliance training completion and distribute additional access credentials as needed.
- Track and maintain accurate records of all onboarding onshore and offshore activities, including adding and terminating users as required.
- Provides feedback on process improvements and contributes to refining onboarding workflows to enhance the new hire experience.
