What we want 

The Program Aide manages day-to-day operations of academic research. Assists in the planning, implementation, and coordination of various program events, such as conferences, seminars, workshops, and meetings. Plays a role in program budget monitoring, communication, file management, and logistical coordination.

Pay: $18.00 an hour

Qualifications

Required Education

  • Bachelor’s degree or equivalent combination of education and experience.

Preferred Qualifications

  • Experience in event coordination or program management is a plus.

  • Experience in public health is a plus.

  • Experience and prior exposure to research, especially in large database studies, data governance and management is a plus.

Knowledge, Skills, and Abilities

  • Ability to multitask and work cooperatively with others

  • Strong project management and organizational skills

  • Excellent written and verbal communication skills

  • Demonstrated ability to work independently and lead teams

  • Ability to assist with the development of marketing materials and program communications.

  • Ability to maintain program files, records, and databases.

  • Knowledge in public health such as courses in Health Policy and Management (e.g., Introduction to Health Policy and Management, Health Care Financial Management, and Health Policy and Politics)

  • Knowledge in program management with related coursework (e.g. project management in health systems)

  • Awareness of the structure and function of research teams, and academic labs

Responsibilities

Assists with Meetings

  • Prepares materials for meetings and helps track progress on action items across program/project activities

  • Supports the scheduling and coordination of meetings, ensuring that all relevant materials are available to participants.

  • Takes minutes/notes and follows up on meeting outcomes.


Coordinates Logistical Arrangements for Events

  • Assists in the logistical coordination of travel, accommodation, and other arrangements for seminars, workshops, orientations, and special events.

  • Ensures all event materials and supplies are available and organized for each event.

  • Works with vendors, venues, and other stakeholders to ensure event success.

Assists in Operations and Management

  • Manages lab resources, supplies, and equipment

  • Tracks and process expenditures, ensuring compliance with budgetary constraints.
