Job Summary
Responsibilities
- Supervises the automated key control system, overseeing issuance, programming, and tracking of all keys and access badges, both physical and electronic.
- Attends advanced training sessions to deepen expertise in security systems, such as Genetec and Cboard, and assists in developing and implementing system-wide enhancements for optimized workflows.
- Strengthens collaboration with University representatives on leveraging security systems effectively.
- Manages telecommunication, domestic and international, and voice communications services for Chicago Booth. Booth Coordinator with Booth departments and the University Telecom Group, Chicago Booth communication (ITS) office, to provide paging technologies, cellular communications, and telecommunication services, including new service and voice mail.
- Oversees upgrades to phone systems and business center website platform, fostering technological evolution.
- Organizes, arranges, and delivers required training for end users to best take advantage of telecommunication and voice communication solutions.
- Provides backup for the Senior Associate Director of Building Safety, Security, and Engineering by offering operational support as required.
- Assists in the creation and rollout of building safety protocols and emergency procedures in collaboration with University Police and Safety and Security officials.
- Monitors and optimizes work order processes, including trend analysis, system utilization, and training staff on new work order systems.
- Creates user-friendly procedures to enhance responsiveness and consistency in addressing service requests.
- Streamlines all front desk, mail room, dock and business center operational processes, including access card management and mailroom workflows across Booth, at both Gleacher and Harper.
- Manages the day-to-day general operations , staff members and buildings.
- Manages and generates work orders, ensuring all phone, email and walk-in requests are responded to and resolved in a timely manner.
- Ensures that communication between the front desk, facility directors, and all contractors remains clear, open and continuous.
- Ensures invoices and payments are up-to-date and paid in a timely manner.
- Manages new uniform/replacement uniform ordering.
