Job Description

The Department of Global Health has an outstanding opportunity for a full-time temporary Human Resources Specialist. The Human Resources Specialist provides professional human resources administration and consultation in support of the department's workforce and operational objectives.

Reporting to the Senior HR Manager, this position serves as a key resource for staff, faculty, student employees, and supervisors by coordinating employment programs and ensuring compliance with university policies, collective bargaining agreements, and applicable federal and state regulations. The position includes a broad range of human resources activities, including recruitment and onboarding, student employment administration, position management, personnel record administration, and regulatory compliance.

The Human Resources Specialist exercises sound judgment, discretion, and attention to detail while supporting a diverse and complex workforce. The position partners with departmental leadership, the School, and University Human Resources to deliver responsive customer service, promote effective HR practices, maintain accurate employment records, and support workforce planning and organizational effectiveness initiatives. Through proactive communication, process improvement, and compliance monitoring, this position contributes to a positive employee experience and helps ensure the department's human resources operations are efficient, equitable, and aligned with the University of Washington's mission and values.

KEY RESPONSIBILITIES:
Ā 

Student Employment Administration (40%)

  • Facilitate student employment appointments processes e.g. prepare offer letters, maintain personnel records, maintain ASE and student employment tracking systems

  • Serve as the primary resource for student employment transactions, processing appointments, changes, extensions, transfers, separations, and other Workday actions

  • Provide consultation to principal investigators, supervisors, and managers regarding student employment policies, appointment eligibility, and work hour limitations

  • Exercise judgement and knowledge of UAW collective bargaining provisions and University requirements to ensure compliance

  • Partner with departmental HR leadership, Academic Programs and Student Services, and other Central Offices to respond to faculty, staff, and student inquiries regarding student employment policies and procedures

Position Management (30%)

  • Conduct routine audits and reconciliation activities to identify and resolve discrepancies involving appointments, positions, funding, employment records, and organizational assignments

  • Track exception reviews, employment action requests, temporary appointment end dates and proactively consult with supervisors regarding extensions, renewals, conversions, or separations

  • Coordinate employment-related communications, including appointment changes, salary actions, merit increases, and organizational updates

Recruitment, Onboarding & Offboarding (15%)

  • Manage onboarding activities and collaborate with the CORE administrative team to ensure completion of required employment documentation and new hire requirements

  • Lead and execute new employee orientation and facilitate positive onboarding experiences for new staff and student members

  • Manage preparation, review and coordination of employment offers and appointment documentation

  • Administer and maintain telework agreements, ensuring alignment with departmental and University guidelines

  • Complete I-9 employment eligibility verification and associated Workday transactions in compliance with federal requirements

  • Manage employee offboarding activities, including separation documentation, exit interviews, and system access notifications

HR Operations and Regulatory Compliance (15%)

  • Maintain and update departmental HR resources e.g. intranet content, newsletter

  • Coordinate employee engagement, recognition, and workplace culture initiatives

  • Maintain employment records and documentation in accordance with records retention requirements and audit standards
