Job Description
The HR Office Assistant (Temporary) provides administrative support to the Human Resources department by assisting with recruitment, onboarding, employee records, and compliance activities. This role helps maintain accurate and confidential personnel records, supports day-to-day HR operations, and assists with HR initiatives to ensure efficient and effective delivery of human resources services.
Essential job duties:
- Answer and direct incoming phone calls, take messages, and provide administrative support to employees, applicants, and visitors
- Provide administrative and clerical support to the Human Resources department, including filing, document preparation, correspondence, copying, scanning, and record maintenance
- Operate standard office equipment, including copiers, scanners, fax machines, and other office technology
- Maintain organized, accurate, and confidential HR filing systems, including electronic and paper personnel records
- Enter, update, and maintain employee information in HR databases, spreadsheets, and filing systems, ensuring accuracy and confidentiality
- Assist with monitoring office and HR supply inventory; prepare purchase requests or purchase orders and coordinate department purchases as needed
- Assist with scheduling meetings, interviews, orientations, training sessions, conferences, travel arrangements, and other department activities as assigned
- Support employee recognition and engagement programs, including Employee of the Month, birthdays, service anniversaries, and other employee appreciation initiatives by preparing recognition materials, managing inventories, and coordinating timely distribution
- Assists with new hire onboarding by preparing onboarding materials, scheduling orientations, creating personnel files, and ensuring new hire files are complete
- Support employee separation process by preparing separation paperwork, maintaining required documentation, and appropriately archiving personnel files
- Maintain accurate, complete, and confidential employee personnel files in accordance with company policies, legal requirements, and record retention guidelines
