Overview
The Program Coordinator - Onsite will be responsible for assisting the Account Manager in managing client relationships, coordinating project activities, and ensuring client satisfaction with a designated Medical Solutions Group client. This individual will take the initiative in creating relationships with the Account Manager, Client onsite-staff, and with our Affiliates that will help in meeting the client’s needs and filling open positions. This role requires excellent communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.
Responsibilities
- Act as the onsite point of contact for designated client, addressing their needs and concerns promptly
- Actively engage client contacts to ensure timely receipt of new staffing orders
- Draft and deliver monthly staffing reports to client in partnership with Client Account Manager
- Collaborate with internal teams, including the assigned Client Account Manager to ensure seamless project execution
- Monitor fulfillment and job orders; provide regular updates to clients.
- Leverage One Note to take detailed meeting notes to share with internal teams
- Continuously gather client feedback and identify areas for improvement.
- Communicate with outside agencies via phone and email balance between customer service and production.
- Post jobs via email and internal ATS
- Build and manage Agency/Hospital Work Orders.
- Manage Timesheet discrepancies between agencies, client, and MS payroll/AR/AP
- Complete other duties as assigned
Qualifications
- Bachelor’s degree OR 1-3 years of exceptional customer service in a relevant field.
- Previous experience in a client-facing role
- Must be proficient in MS Office, specifically in Microsoft Outlook, Word, OneNote, PowerPoint and Excel
- Self-motivated
- Ability to work on-site 90% of the time
- Ability to demonstrate good judgement in situations with limited information
- Ability to quickly build rapport with varying personality types
- Experience collaborating with multiple internal partners
- Superior organizational skills
- Excellent written and verbal communication skills
- Strong listening and critical thinking skills
- Attention to detail
Preferences:
- Basic knowledge of Nursing and Allied types/specialties
- Healthcare staffing experience
Pay Range
